Reporting to the Manager, Legal Support Services, the legal assistant will be responsible for providing legal services and administrative support to lawyers. The successful candidate will act as a collaborator, proactively focusing on keeping records up-to-date and staying well informed on current affairs to support the department's activities, as well as providing impeccable client service.
Assist in the drafting, revision, modification and layout of administrative and legal documents, in English and French;
Assist professionals in tracking incoming and outgoing communications by phone, email and regular mail;
Produce procedures relating to labour law;
Perform calculations and follow-ups relating to deadlines, write them on the agenda and regularly transmit the information to lawyers;
Prepare the necessary documentation for representations (correspondence, supporting documents, etc.);
Ensure the organization and follow-up of client files;
Photocopy and scan documents;
Open and maintain files in paper and electronic formats;
Manage the lawyers' agendas, appointment follow-ups and travel arrangements (plane, train, car, hotel, etc.);
Prepare lawyers' expense accounts;
Prepare lawyers’ time entries for invoicing when requested; and
Perform any other tasks assigned.
Vocational studies or college diploma in secretarial or office administration, including automation, legal option, or any other education with relevant professional experience.
5 to 7 years of experience in a similar position.
Knowledge of labour law in the province of Québec;
Understanding in the field of litigation;
Proficiency Word, Excel, PowerPoint, and other office automation software relevant to the role;
Knowledge of at least one invoicing software;
Fluency in French and English, both oral and written;
Exceptional written communication skills in both French and English;Highly organized with attention to detail and ability to prioritize;
Ability to manage multiple files at once;
Lively, resourceful and versatile;
Can work both autonomously as well as part of a team;
Exceptional client service; and
Contract Type: Permanent Position – Full-time
Schedule: Monday to Friday, 9 a.m. to 5 p.m.
