The primary purpose of this position is to (a) contribute in the maintaining of financial records; receive, process and receipt various monies; assist in various reporting functions; verify accuracy and ensure compliance with various procedures and protocols, and (b) provide a broad base of support in the processing of donations and general office administrative support. Specifically

1. Prepare semi-monthly accounts payable for suppliers

2. Prepare reimbursement cheques for staff & volunteers as needed – at least weekly, sometimes occurs daily

3. Prepare monthly cell phone stipend cheques for staff who receive one

4. Reconcile credit card slips to statements & record expenses

5. Receive all income from the Thrift Store twice a week & verify the accuracy

6. Receive all income from the Dental Clinic as it comes in & verify the accuracy

7. Prepare & process semi-monthly payroll (utilizing ADP) on an alternating schedule with Financial Manager

8. Receive program fees for women’s houses & transitional dorm from program staff each month

9. Issue payment receipts to program participants

10. Prepare weekly Thrift Store deposits

11. Prepare monthly program fee deposits

12. Process all income that is not donations or grants & prepare deposits on a weekly basis

13. Post donation & grant income to the general ledger on a monthly basis

14. Post payroll journal entries to the general ledger

15. Post monthly Harmony House account petty cash cheque

16. Assist with preparation for year-end audit

17. Assist with the maintenance of filing & retention of financial records

18. Process petty cash replenishments as needed

19. Assist with ongoing record keeping & tracking of employee benefits, employment history, & other employee-related materials

20. Prepare & process separate payroll for employee leaves as necessary

21. Prepare paperwork & government forms related to hiring of staff

22. Assist with preparation of ROEs & other necessary paperwork related to discharge of staff

23. Respond to requests from Government Agencies for wage information

24. Verify the accuracy of draft T4s when provided by ADP

25. Distribute T4s for all employees when final copies received from ADP

26. Maintain Excel file with schedule of employee raises & benefits

27. Ensure compliance with employee benefit programs, including health & dental plans & RRSP plan as directed by Human Resources

28. Troubleshoot ADP issues
