PURPOSE OF JOB
The Print & Marketing Sales Support Coordinator (SSC) is responsible for providing administrative support services to Business Development Mangers and Account Managers. The SSC supports new hire sales reps through the entire order administration process & supports tenured sales reps from the converted order stage by coordinating pre-flight and/or design requirements (including proofing), submitting final artwork into production, confirming on-time shipment, and communicating status with reps.
PRIMARY DUTIES AND RESPONSIBILITIES
Partner with new hire sales reps to process customer orders end-to-end, teaching system navigation & business processes along the way
Verify accuracy of order request, including all relevant specifications
Ensure quotations match original order specifications & manage change requests
Coordinate all preflight activities (including proofing) and/or design requirements (as required)
Submit files for production and verify committed timeframes will be respected
Ensure customer orders stay on track and arrive to customer’s destination when promised
Communicate order status to sales reps so that they can keep their customer informed
Send payment instructions to customers and validate accurate customer payment followed by invoicing
Co-ordinate with (Invoicing team ) to support invoice or statement requirements as requested by customer or BDM
Co-ordinate delivery and distribution requirements as required
Utilizes request tracker to support measurement of efficiency and capacity
KNOWLEDGE / SKILL REQUIREMENTS
Reading-lengthy & complex texts to extract & interpret information
Writing-technical & tailored texts
Mathematical Skills-completes basic & complex mathematical calculations
Communication-Listens & understands information, presents information in a clear manner, uses standard trade terms and work-related terminology
Planning & Organizing-plans & organizes own activities
Decision Making-makes decisions using explicit guidelines and procedures
Problem Solving-identifies & solves basic problems using readily available information
Computer literacy-uses limited number of software programs routines
Intermediate knowledge of Design applications
Good colour theory, typography print production and principles of file management and design.
Skilled use of Microsoft Office Suite (outlook, excel and powerpoint)
PHYSICAL DEMANDS / WORKING CONDITIONS
Conditions of the work environment are such that minor stress or physical discomfort may occur.
This position will be based in a call centre environment and will require extended periods of sitting
You will be exposed to moderately disagreeable levels of noise generated by the ringing of the telephone and internal paging system.
1-2 Years experience in the graphic communication & printing industry Understands steps involved in the printing process
Strong understanding of medium and complex print specifications and ability to assess the integrity of quotations from vendors
Prior industry experience with knowledge of margins within multiple product categories
College or technical school diploma in graphic arts or related discipline
