THIS IS A TEMPORARY REPLACEMENT POSITION FOR A BARGAINING UNIT EMPLOYEE. Terms and conditions of employment are as outlined in the Support Staff Collective Agreement.

THIS IS A LESS THAN 12 MONTH POSITION. Incumbents to this position will work mid-August to mid-May
THIS POSITION WORKS NON-TRADITIONAL HOURS (11:00AM – 7:00PM Monday to Thursday and 8:30AM – 4:30PM on Friday)

Reporting to the Manager Student Success, the incumbent is responsible for booking and proctoring tests in Testing Services and coordinates test/exam schedules, room assignments, scores, and prepares adaptive technologies following testing protocols and procedures. In addition, the incumbent provides front-line reception, information assistance and general administrative/clerical support, in the evening and vacation periods for the Student Success department on the Orillia campus. Specific duties include, but are not limited to:

Responsibilities

Providing Testing Services, which includes:
the administration, set-up, and proctoring of a variety of tests / exams such as missed tests, external tests, Communications Placement Assessments (CPA), and Health Occupations Aptitude Exams (HOAE)
providing suitable testing accommodations
the administration of on-line test requests
providing training and guidance to student lab monitors on the process of submitting test requests
monitoring the testing lab through video surveillance and addressing situations that may arise (i.e. individuals not acting in accordance to testing policies and procedures)
Providing front-line reception, information assistance and general administrative / clerical support, which includes:
providing general information and answering general inquiries regarding the department and college services
booking appointments
assisting clients with access to information in the centre (i.e. books, reference material, systems – Banner, and on-line test requests)
providing general office support (filing, faxing, photocopying, mail, participating in various group projects, and assisting with marketing activities of the department)
Working with student staff to provide evening coverage and support of the Adaptive Lab, which includes:
troubleshooting technology problems associated with computers, printers, photocopiers, and adaptive technology / software
monitoring appropriate use of technology, and the lab, addressing misuse when necessary
assisting with training students on the use of adaptive technology (scanners, photocopiers, and digital recorders)
assisting with the conversion of files from adaptive devices to computer file formats
assisting with textbook scanning requests and providing students with educational materials in alternative formats
providing general office support (i.e. compiling data, pulling student files, contacting students when materials are ready for pickup, and providing scanning support)

Requirements

Successfully completed a one-year postsecondary certificate in a relevant field of study that may include, but is not limited to office administration
One year of experience in a reception role providing front line customer service and general office support, preferably in a setting serving and supporting a diverse clientele
Communication and customer service skills
Self-directed with the ability to work independently
Problem solving, conflict resolution and critical thinking skills
Organizational and time management skills with the ability to set priorities and handle multiple responsibilities simultaneously
Computer skills with experience using the Microsoft Office Suite (Outlook, Excel)
Ability to maintain confidentiality with student information
Ability to work non-traditional hours (evenings)
Experience with Adaptive Technology / Accommodation Software (Read and Write Gold, Dragon Naturally Speaking, and Inspiration) and invigilation (proctoring tests / exams), preferably in an educational environment is considered an asset
Experience using scheduling software (preferably Clockwork) would be an asset
