ACADEMIC PROGRAM ASSISTANT (BAND LEVEL 4)

Reporting to the Coordinator, and working closely with the Academic Program Administrator, the successful applicant will provide proactive administrative assistance to the Office of Postgraduate Medical Education (PGME) on detailed and deadline-based tasks supporting resident affairs. Duties include: organizing annual resident orientation and admissions (e.g. downloading CaRMS applications, collecting admission documents, collaborating with internal and external departments to meet registration requirements of all stakeholders, organizing orientation week, setting up new resident files, creating new One45 accounts); tracking and processing resident academic promotions, extensions and completions; preparing annual resident employment contract letters and updating as needed; tracking and processing resident leaves of absences; processing visiting resident elective proposal forms; reviewing resident moonlighting requests; processing internal program transfer applications; regularly communicating with residents and residency program offices on guidelines, policies and standards; maintaining PGME databases; compiling data for the Associate Dean and other authorities; preparing verification of training for alumni and collecting associated fees; tracking resident pagers; updating One45; regularly communicating with Faculty of Medicine departments, Regional Health Authority offices, the College of Physicians of Newfoundland and Labrador, and other University departments and external stakeholders to support learner affairs; and performing other related duties as required.
Experience (1-3 years) in an academic and administrative university environment; graduation from high school supplemented by courses in business administration or related field; or any equivalent combination of experience and training. The ideal candidate will have the ability to work independently, take initiative, and use good judgment; have superior organizational and time management skills as well as strong written and oral communication skills. Proficiency in Microsoft Office, particularly Word and Excel, are required. Familiarity with the Faculty of Medicine and residency training, One45, Student Banner, CaRMS Online and would be considered assets.
SALARY $37,353 - $52,383 per annum (CUPE Local 1615)
