Executive Assistant

The Executive Assistant will provide executive assistance to the CFO/VP Finance, and Corporate Controller. This individual will work collaboratively with department managers to ensure the smooth and efficient flow of communication in the Finance department establishing, monitoring and supporting policies and procedures. The candidate will follow up on legal and insurance matters. The successful candidate will take initiative on new projects, be resourceful, flexible and can manage highly confidential information with a high level of integrity and discretion.

Key Responsibilities:

- Provide executive-level administrative support; manage calendars, email, phone

- Prepare travel arrangements, reservations, meeting agendas and power point presentations

- Compose and communicate policies and procedures, corporate announcements

- Assist with documentation of job descriptions, compensation plans, employee reviews

- Approve travel and expenses for department

- Coordinate new employee orientation, office space and requirements

- Assist with dealer / customer communications such as new customer set up, credit granting and legal demands

- Assist with coordination of internal and external events, and visits from advisors

- Oversee and follow up on projects within the department, ensuring tasks are performed on a timely basis and deadlines are met

- Ability to set meeting Agenda, take meeting minutes and follow up on key deliverables

- Coordinate notices received for insured and non insured incidents claims with brokers / legal advisors and Senior management

- Coordinate with Corporate lawyers / advisors on patents and trademarks; Contracts; Corporate Resolutions and minute book updates

- Develop and sustain strong relationships with internal and external stakeholders

- Back up for Sales Department Office Manager / Executive Assistant


  • Minimum of 5-7 years of previous experience working as executive assistant at a senior management level or legal assistant in a corporate environment
  • College Diploma or bachelors degree with focus on paralegal studies
  • Excellent interpersonal and communication skills, both verbal and written
  • Proven ability to work effectively under pressure in a fast-paced environment
  • Strong organizational skills with a proven ability to prioritize
  • Excellent attention to detail and follow-through skills
  • Respect for confidentiality and appropriate handling of sensitive information
  • Advanced skills in MS Outlook (email, calendar, contacts) as well as experience in productivity tools such as MS Office (Word, PowerPoint, Excel) and Adobe Acrobat

Job Type: Full-time

Salary: $60,000.00 to $70,000.00 /year


  • Executive Assistant Role: 3 years (Preferred)
  • Legal: 2 years (Preferred)
