Responsibilities:
The Repair and Maintenance Specialist will ensure that all Store & Home Office repair and maintenance issues are addressed while ensuring the best possible practice and prices, resolution of landlord concerns and processing of invoices for all completed repairs and maintenance.

DUTIES & RESPONSIBILITIES:
Operations

Address all repair and maintenance issues at store level and Home Office, obtain all required quotations and ensure completion in a timely and cost effective manner.
Including electrical, heating ventilation and air conditioning (HVAC), locks, building, plumbing, sign, elevator, conveyor, floor, parking lot, and window repairs maintenance
Source competitive bids re above and maintain original document file
Work with Real Estate/Legal Dept. to resolve disputes on building maintenance and repairs between the Company and Landlords
Enter data of items such as store concerns, invoice tracking, equipment listings contractor/vendor data bases
File all applicable invoices, store and landlord correspondence, and Capital Expenditure/Project information
Send applicable repair/replacement request concern notices to our landlords
Work with others in the department to resolve disputes between the Company and the landlords on building maintenance and repair obligations
Set up furniture and equipment for all Home Office meetings in coordination with the Administrative Assistant
Conduct all required minor fixture and furniture moves in Home Office
Invoicing

Record proper general ledger account numbers on expense invoices and ensure accurate coding of invoices re repair and maintenance charges
Properly match, approve, and code invoices, and then submit them promptly to the Accounting Department for payment
Promptly enter all invoice information into expense budget tracking spreadsheet
Promptly file invoice copies in store binders/files
Follow up and resolve all invoice issues with vendors and/or the Accounting Department
Maintenance

Source, tender and award final annual maintenance contracts related to pest control, landscaping, snow removal, elevator, and conveyor in their entirety and maintain original documents on file
Conduct the annual sourcing, tendering, awarding, data entry and daily monitoring of all maintenance contracts including HVAC, fire extinguisher/sprinkler, etc. for all stores and Home Office
Look after the day-to-day maintenance and concerns in all of the applicable areas including pest control, HVAC, elevator, conveyor, fire extinguisher/sprinkler, plumbing, electrical, landscaping, parking lot maintenance, flooring, structural, window and door, etc.
Organize and file all maintenance tender information and update databases accordingly
Provide input into the development of repair and maintenance budget and administer same
All other duties as assigned

Knowledge, Skills, Abilities, and Experience:
2-5 years relevant experience
Intermediate level of building structural and mechanical equipment knowledge and understanding as well as being a technical expert in repair and maintenance
Confident and decisive
Diploma in business management, retail management or related trade discipline
Ability to read and understand lease documents
Experience in AutoCAD is considered an asset
Self-motivated and capable of juggling multiple priorities
Strong skills in Microsoft Programs (Word, Excel, PowerPoint)
Database (Access) knowledge an asset
Seasoned ability to use initiative and work with minimal supervision
Excellent interpersonal skills
Strong problem solving, analytical skills and communication skills
Ability to work under time constraints and adapt quickly to change in priorities
Outstanding time management and organizational skills
Detail oriented & strong negotiation skills (re. Contracts)

OTHER JOB REQUIREMENTS:
Heavy lifting over 22 lbs a few times per month eg. movement and setup of office furniture and partitions
Some bending and reaching while setting up furniture
