The Administrative Assistant, Investment Counsel is responsible for providing support to senior members of the 1832 Asset Management portfolio management and executive management team. The Administrative Assistant is responsible for proactively and professionally providing administrative assistance and ongoing support to their assigned team members.
The Administrative Assistant, Investment Counsel will be responsible for the following:
Perform daily administrative functions for members of the team, including calendar management, booking meeting rooms, photocopying, scanning, ordering supplies, mail distribution, processing presentations and correspondence;
Accurately process departmental invoices for payment;
Accurate and timely submission of expense reports;
Co-ordinate domestic and international travel arrangements and monitoring to ensure accuracy and travel is within policy;
Accurately generate portfolio/research reports using Simcorp, Charles River, Internet, Bloomberg or other related industry applications;
Provide backup coverage for Administrative Assistant team members;
Coordinate effectively with other Administrative Assistants on scheduling and assigned tasks;
Contribute to the success of the investment team by ensuring timely and accurate completion of assigned tasks; and
Completion of various projects and assignments, as required.
Desired Skills & Experience:
The successful candidate for this position will possess the following:
Minimum four years of Administrative or related experience; previous experience supporting executive level management is preferred;
Knowledge of administrative functions and procedures required for proactively supporting a team of senior professionals;
High degree of professionalism, confidence and ability to exercise independent judgment, discretion and diplomacy in managing the activities of the portfolio management/executive management team;
Extremely detail-oriented and very well organized, with successful time management skills and the ability to multi-task to accomplish a wide variety of tasks, and conflicting priorities;
Expert level PC skills (MS Office: Excel , Word, Powerpoint, Outlook; web browsers) is required;
Exceptional verbal and written communication skills;
Must exhibit strong teamwork skills; willing to continuously and proactively collaborate, share and seek information and guidance; and
Ability to work well in a fast paced, deadline driven environment.
