We are currently recruiting for an Office Services Assistant to provide office services support to the Calgary office which includes handling office purchases, managing office supplies and providing photocopying, faxing, mailroom and courier support.
Major Responsibilities and Duties:
Processes all mail and courier materials for the Calgary office, which includes preparing outgoing courier mail, receiving all incoming regular and courier mail, sorting mail and delivering mail
Completes photocopying, cerloxing and scanning as required by the Calgary office
Assists with sending faxes
Maintains inventory of office supplies (including in boardrooms) and ensures that appropriate levels replenished when needed
Books visitor offices and ensures offices are tidy and prepared for each visitor
Sets up offices and workstations with respect to departures and arrivals of legal professionals and staff
Sends visitor, arrival, departure and move notifications
Maintains printers and copiers, making service calls when required and ensuring supplies are maintained
Assists with the set-up of boardrooms for special functions
Assists with office moves as required (furniture, computers, phones, boxes, etc.)
Provides support to receptionist and hospitality services when additional assistance is required
Education and Experience
The position requires a high school diploma, with a basic knowledge of office equipment such as photocopiers, fax machines, etc.
Knowledge and Skills
Knowledge of office practices and procedures
Oral communication, customer service oriented and interpersonal skills needed to interact with a variety of individuals
Strong organizational and time management skills to effectively prioritize and multi-task
Problem solving skills required to resolve challenges in an expedient fashion
Basic arithmetic skills required (i.e., to perform inventory)
Computer skills (Microsoft Office - Outlook, Excel, Word)
Ability to work independently and be team player
Ability to frequently lift 0-30 lbs with occasional lifting between 30-70 lbs
