The Ottawa Tennis and Lawn Bowling is one of the largest tennis clubs in the city, having 18 clay courts, 10 beach volleyball courts, an outdoor pool, and a fully licensed restaurant. The OTLBC is 136 years old and our member satisfaction and club experience are key to our success. We have approximately 900 active members and close to 2,500 beach volleyball players using the facilities weekly. The OTLBC is located in Old Ottawa South, next to Brewer Park, with 50+ summer job positions available.

Language: English is essential (Ability to speak French is an asset) Direct Report: Executive Director

Work Schedule: The OTLBC operates seven days a week from 8:00AM to 11:00PM from May to October. All staff are required to work evenings and weekends.

Requirements

· 1 to 3 years working experience as an administrative assistant or office coordinator in customer service,

office management and support, preferably in a non-profit or community centre environment

· Well-developed interpersonal and relationship-building skills; ability to establish rapport and excellent communication with clients and staff

· Able to work under pressure and adapt to changing environments and diverse weather conditions

· Highly organized, ability to multitask, strong attention to detail and problem-solving skills

· Excellent communication skills: bilingual (French & English) preferred

· Professional, courteous demeanor, strong work ethic and commitment to excellence

· Good teamwork ethic and ability to work independently

· Familiarity with social media marketing

· Proficiency with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) with an aptitude to learn

new platforms and other relevant web-based registration portals

· Completion or progress towards a University Degree and/or College Diploma in business administration or sport management

Responsibilities

· Provides training and general supervision of the Club junior front desk staff

· Assists with staff scheduling

· Ensures front desk staff and all stakeholders are up to date on club events on a weekly basis

· Provides support to Special Event Coordinator and Junior Program Coordinator with the Summer Camps and other programs, as required

· Assists members as required

· Monitors all incoming communications and inquires (by email, phone and in-person) and ensures timely response and attention

· Manages and sorts mail

· Liaisons with Executive Director, reporting all member issues and complaints, and ensures prompt followup

· Assists management to ensure proper implementation of the Club program, including court allocations, special events, clinics and members activities

· Monitors court maintenance to ensure resources are readily available to members

· Manages and ensures all online court bookings are updated daily in the front desk court sheets

· Maintains and assists with the club’s point-of-sale system setup and maintenance

· Ensures financial transactions are processed properly and reviews daily closing reports

· Monitors and ensures the Clubhouse and facilities are always in mint conditions and directs staff to remediate deficiencies, as required

· Manages front desk inventory
