Toronto - IP Litigation Assistant
Provide support to a lawyer with their day-to-day responsibilities and any ad-hoc tasks or projects
Manage communications and correspondence (email, phone, mail, voicemail), responding when needed; bringing action items forward in a timely matter
Prepare and submit expenses, calendar management, coordinate meetings and book travel arrangements
Accurately proofread, format and assist with various legal and general materials, including documents, reports, memos, briefings, presentations, forms and other items, ensuring accuracy and completeness; checking for appropriate formatting, spelling, grammar, etc.
Schedule and organize activities such as events, client meetings, conference calls, and travel itineraries
Maintain the lawyer’s contact lists
Enter dockets and prepare accounts, including coordination of billings
Maintain an in-depth knowledge of legal terminology, rules and procedures
Answer and direct phone calls
Organize client files and maintain an up-to-date file system
Maintain a positive rapport with clients
Collaborate and maintain open communication with the other Legal Assistants and Legal Professionals, offer back-up support when needed
5+ years of experience in an executive assistant capacity supporting a senior level individual, with exposure to the legal industry. Experience supporting a busy Senior IP Lawyer preferred
University degree or college diploma in a related field
Knowledge of the Federal Court Rules, court practice and procedures at various levels an asset
Immaculate proofreading and grammar skills
Strong attention to detail and superior organizational skills
Excellent knowledge of Microsoft Office applications
Ability to juggle multiple priorities and work well under pressure
Ability to handle confidential and non-routine information, with discretion and professionalism
A strong team player and demonstrates positive work ethic
Strong ability to create relationships with all members of the team and to build rapport quickly
Knowledge of general legal practices, terminology, documents and best practices
