The Edmonton Police Service requires a Divisional Administrative Assistant with excellent organizational and interpersonal skills to provide administrative services to Southeast Division. Reporting to the Inspector, this Administrative Assistant will perform the following duties:
Compose and type memoranda, forms, letters, police occurrences, reports and responses to a variety of enquiries.
Prepare agendas, take and transcribe minutes at meetings and prepare follow-up reports.
Answer phone calls, update calendars and schedule for the Inspector.
Provide support and manage CARM for the Southeast Patrol Branch .
Enter Annual Vacation for Squads.
Complete Transfers/loans and update Photo Book.
Print weekly patrol schedules.
Intake and track Summons and Non-Summons Photo Violations.
Complete all scheduled OHS Facility Checks.
Co-Chair on the Joint Worksite Health and Safety Committee for SE Division and attend OHS Meetings.
Schedule and plan events including catering when necessary.
Track and manage Diary Date system for Photo Violations, PSB, Tracking Sheets, Briefing Notes, Memos and EPDP’S.
Draft Employee Recognitions and Awards.
Code, classify and file material into confidential filing systems, including divisional and personnel files.
Ensure responsible spending of Divisional funds to maintain fiscal responsibility within budget allocations.
Order stationary for the executive offices.
Provide backup coverage to the patrol admin (mail, supplies, CFE’s, PEU Notices, etc.).
Complete Visa statements for the Inspector.
Track, pay and send invoices to Finance.
Complete weekly PARS and TA forms for the Inspector.
Send Holiday Staffing memos to the division.
Coordinate and book travel for work related travel and training.
Provide work bios for the Inspector to hand out service awards.
Performing other related duties as needed.
Completion of the twelfth (12th) school grade including business subjects related to word and information processing or completion of an appropriate certificate program from an approved business school/college, supplemented by training in basic computer applications.
A minimum of two (2) years diversified word and information processing experience.
Membership in an Administrative Professional Association (IAAP) or post-secondary certificate for Administrative Professionals would be an asset.
Proven leadership and team building skills.
Experience in a public customer service-oriented environment.
Proficiency with all Microsoft Office suite products, particularly Excel.
Extensive experience in the maintenance of databases and the preparation of performance management reports.

THE EDMONTON POLICE SERVICE WILL CONDUCT AN ENHANCED SECURITY CLEARANCE ON THOSE CANDIDATES WHO HAVE BEEN SHORT-LISTED.
Hours of Work:
33.75 hours per week. Monday to Friday
21M, Salary Grade: 006, $23.66 - $29.38 (Hourly), $1,597.30 - $1,983.50 (Bi-Weekly), $41,690.05 - $51,769.02 (Annually). The rates quoted are in accordance with a collective agreement between the Union and the City of Edmonton that expired on December 22, 2018.
