The Dalla Lana School of Public Health is a Faculty of the University of Toronto that originated as one of the Schools of Hygiene begun by the Rockefeller Foundation in 1927. The School went through a dramatic renaissance after the 2003 SARS crisis and it is now the largest public health school in Canada, with more than 850 faculty, 1,000 students, and research and training partnerships with institutions throughout Toronto and the world. With $35.9 million in funding per year, the School supports discovery in global health, tobacco impacts on health, occupational disease and disability, air pollution, inner city and Indigenous health, among many other areas.
The Waakebiness-Bryce Institute for Indigenous Health brings together researchers and educators across the University of Toronto to work with community partners and Indigenous peoples to address the complex factors that underlie disparities in health between Indigenous and non-Indigenous people.
As the administrative coordinator, you will maintain a high standard or professionalism while overseeing the day-to-day operations of the Institute’s office and administrative systems. You will provide senior level administrative and operational support and engage in data collection and analysis to assess the institute’s progress and the state of Indigenous health research and knowledge translation. Your solid organizational and leadership skills, independence to coordinate administrative responsibilities and firm understanding of indigenous communities will enable you to contribute to the advancement of the institute’s priorities.
Your responsibilities will include:
Overseeing the day to day operational needs of the unit and analyzing administrative and information requirements
Coordinating project cycles by implementing project plans/deliverables, developing task schedules, tracking milestones and timelines and providing project status updates
Promoting the institute’s objectives and goals at promotional activities and events and contributing to the execution of various events (i.e. determining logistical details and activities, booking speakers, venues, arranging catering)
Collecting data, conducting literature reviews, editing content for grant applications, brochures, newsletters websites and/or handbooks and writing and synthesizing comments for researchers on grant submissions
Directing the activities/workflow of a staff-appointed employee and casual staff
Monitoring accounts for projects/programs and generating standard financial reports
Updating and maintaining database records to monitor the Institute’s progress and produce annual reports
Provides administrative support to the institute’s Associate Director, working groups and committees (i.e. complex calendar management, taking minutes, preparing agendas and supporting materials
Bachelor's Degree in health, social sciences or acceptable combination of equivalent experience.
Minimum of five years of relevant experience working with Indigenous peoples and organizations in a health related organization
Experience providing senior level administrative support in a health-related organization
Experience with implementing and coordinating research projects using work plans
Experience with project funding
Experience supporting working groups and committees (i.e. scheduling meetings, calendar management, minute taking and preparing agendas)
Experience in program planning, evaluation, and research
Experience in writing and in the preparation of reports, briefs, grant applications and other documents for consideration by various internal and external bodies
Experience supervising staff
Advanced knowledge of Microsoft Office (Word, Excel, PowerPoint, Access) and Adobe Creative Suite
Excellent organizational, problem solving and communication skills (oral and written)
Strong analytical and project management skills, including the ability to manage conflicting priorities and meet deadlines
Ability to work independently and collaboratively as part of a nation-wide team with international outreach
Solid understanding of indigenous affairs
Experience with research evaluation

Pay Scale Group and Hiring Rate: USW Pay Band 12 - $69,730 with an annual step progression to a maximum of $89,172. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
