Job Summary: First point of contact for Alfield for customers, suppliers and visitors

Required Education and Experience:
Excellent English Communication Skills (oral and written)
18 24 months experience
Fluent in Microsoft Office (Word, Excel, Outlook, PowerPoint)
Excellent organizational and time management skills

Essential Functions:
Answer telephone and direct calls for Alfield Industries (Meridian System - 16 incoming lines); while remaining courteous and professional
Greet visitors, customers and suppliers in a professional and hospitable manner
Prepare sign in badges for visitors; ensure they receive appropriate visitor information (Health and Safety, Environmental requirements etc.)
Prepare documentation and arrange for couriers. Sort and distribute all incoming mail, prepare outgoing for pickup
Stuff accounts payable cheques and prepare for mailing
Receive checks and stamp accordingly
Record checks on the Check Register
Provide assistance on projects as required
Coordinate travel arrangement for Alfield employees; hotels, car rental, flight etc.
Coordinate food catering when needed
Organize coverage for reception in absence

Assist the Purchasing Department as required:
Enter all scrap details and downtime codes into manufacturing system (CMS)
Enter all purchase requisitions into CMS, fax signed PO's to vendors and scan PO into Alfield server
Perform receiving function of items ordered into CMS and resolve issues with missing receipts
Input production report information into CMS

Quantitative Measurements:
Alfield - 16 lines
Ensure compliance with all applicable codes, standards and legislation including Environmental Legislation, O. Reg 851 for Industrial Establishments, and the Occupational Health and Safety Act (with emphasis on Section 28, (1) (a)-(d), (2) (a)-(c))
Abide by all Company polices including, but not limited to the following: Health and Safety, Quality and Environmental Systems, Human Resources policies, and the Martinrea Employee Handbook

Work Environment:
100% Office environment

Decision Making and Authority:
On a functional level the following position will oversee the HR Coordinator
Health and Safety Coordinator

Authority of decisions:
How to communicate to Supervisors/ Managers
Prioritization of workload

Recommendations:
Changes to HR processes, procedures, forms and polices
Improvements to HR systems
Improvements of communication to plant floor employees and Supervisors/ Managers

Physical Demands:
Repetitive sitting for prolonged periods of time
Employee is required to talk and intensively listen on a regular basis
Must be able to lift up to 35lbs.
Must be able to work with push pull forces of up to 50lbs. or less

Health and Safety:
Must work in accordance with Health and Safety regulations, Company and plant rules, policies and procedures
Must use or wear Personal Protective Equipment and certain clothing as required by the Company
