Who You are:

The Office Admin/Bookkeeper is a strong communicator with an efficient, polite style in written and verbal communications, able to prioritize work and handle simultaneous assignments with success and accuracy. Skilled to work independently, prioritize, and manage a high-volume of tasks, deadlines, and requirements, while willing to ask questions when in need of support, desire and ability to understand the bigger picture and objectives. You are also self driven and able to work independently with minimum supervision and guidance while paying special attention to all the details. You are creative in solving problems with a proactive, self-starting, motivated mindset, critical thinking, resourcefulness and always looking to learn new things and skills.

You are a people person, an energetic professional who is excited to wear multiple hats; experienced in handling a wide range of administrative, executive and support related tasks; able to work independently with little or no supervision. The office administrator is an organized, flexible and enjoys the challenges of supporting an office of diverse people. You have an entrepreneurial mindset and a roll-up-the-sleeves work ethic, comfortable with ambiguity and rapid rates of change and always looking for challenges and problems to solve.
Roles and Responsibilities:

  • Responsible to foster a transparent, honest and positive team environment
  • Work closely with the Organizational Development Manager, Operations Manager and Business Development Manger to develop and maintain organizational procedures and systems for office personnel
  • Organize and coordinate office administration and procedures
  • Ensure organizational effectiveness
  • Responsible for the bookkeeping entries, understanding and championing the accounting software
  • Maintain clear and accurate communication and collaboration with the company‚Äôs accountant
  • Maintain a clean and clear filing system
  • Office upkeep; coordinate maintenance and cleaning companies
  • Support management with day to day tasks
  • Be the face/voice of the company
  • Project Administration (creation, maintenance, analysis and closure)
  • Accounts Receivables and client interaction and relationship building
  • Payroll and Accounts Payables
  • Organize company staff events
  • Assistance to the Operations Manager with Project Financial Controls
  • Proactive in task management & able to prioritize company needs


  • Minimum 1-3 years experience in a similar role
  • Minimum 2 years experience in bookkeeping/accounting
  • Excellent people skills, teamwork, and interpersonal skills
  • Strong Communicator (verbal and written)
  • Self driven and willing to self teach
  • Strong problem solver
  • Strong working knowledge of business software applications
  • Willing to learn and always looking to improve
  • Energetic
  • Social
  • Computer savvy and ability to learn and set-up new applications
  • College/University Degree is a strong asset
  • Business & technical writing training is an asset
  • Accounting training/knowledge/experience is a strong asset

Benefits and Compensation:

  • Salary based on experience 45,000-48,000
  • 2 weeks paid vacation to start
