Position Objectives

The main responsibility of the Receptionist – Finance is to handle AR inquiries and requests of homeowners and external clients, and to liaise with team members and supervisors.

Essential Duties & Responsibilities

The Receptionist – Finance will be a highly motivated self-starter who will be responsible for ensuring the efficient operation of the Accounts Receivable department by:

  • Accepting cash payments at reception
  • Performing end of day cash reconciliation and coordinate daily bank deposit
  • Responding to homeowners and team members’ account related questions and requests
  • Managing the accounts receivable general email inbox
  • Performing data entry and clerical duties
  • Relaying clients’ instructions and supporting documents for processing and adjustments
  • Having the ability to multi-task and thriving in a fast-paced environment
  • Other administrative and customer service related duties

  • Possessing excellent analytical skills and having a keen eye for attention to details
  • Possess a strong command of the English language with excellent verbal and written communication skills

Additional Duties & Responsibilities

  • Practice and adhere to FirstService Residential Global Service Standards.
  • Conduct business at all times with the highest standards of personal, professional and ethical conduct.
  • Perform or assist with any operations as required to maintain workflow and to meet schedules. Notify supervision of unusual equipment or operating problems and the need for additional material and supplies.
  • May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.
  • Ensure all safety precautions are followed while performing the work.
  • Follow all policies and Standard Operating Procedures as instructed by Management.
  • Perform any range of special projects, tasks and other related duties as assigned.
  • Displaying Confidentiality, Respect and Loyalty.
  • Must show discretion and not participate in conversation of a personal or inflammatory nature, particularly when communicating with Property Managers or coworkers

Education & Experience

In addition, the ideal candidate must:

  • Be numerically inclined
  • Be able to communicate clearly with both internal and external contacts
  • Have a proven combination of attention to detail with speed and efficiency

Knowledge, Skills & Proficiencies

  • Being able to maintain cordial and professional relationships with internal and external contacts
  • Excellent English Communication
  • High level of accuracy and numeric typing speed
  • Exhibit excellent interpersonal skills
  • Proficient in Microsoft Excel, Word and Outlook
  • Previous Customer Service and/or Clerical experience preferred
