The Waterloo Catholic District School Board with a total student population of 23,000, provides services to students in 50 schools (Kindergarten to Grade 12) across the Waterloo Region.

GENERAL DESCRIPTION OF DUTIES:
Operate, maintain and update all aspects of the Student Management System for student demographics, student academic information, literacy results, emergency information (including Plan of Care), student privacy, student and staff timetables and the school master schedule.
Ensure all staff and student data is accurately maintained in the Student Management System and reported to the Ministry of Education (OnSIS - October, March & June, OEN, EQAO, OCAS and OUAC).
Required to complete Ministry and statistical reports (including EQAO Literacy and Grade 9 Math inputting and reporting).
Compose and prepare school related reports for the ministry, month end, enrolment projections, guidance, administration, and special education.
Produce and process all OSR information, equivalency credits, community hours and order, track, and compile all Ontario Secondary School Literacy Tests (OSSLTs) and Grade 9 EQAO Mathematics Assessments.
Responsible for accurate submission of student academic information to OCAS and OUAC.
Assignment and maintenance of all student OENs.
Management of school e-learning program (admission, departure, scheduling, achievement and attendance.
Assist in creating and maintaining school master timetable within Student Management System, including revisions throughout the year.
Maintain records and information regarding Specialist High School Major (SHSM) students and the completion of the Specialist High School Major (SHSM) certificates.
Maintain, record and reconcile student data regarding ESL, ELL, French and Special Education information to the Ministry.
Responsible for students and compile statistics on student enrolment and retirement records;
Produce and distribute student and teacher timetables and all related reports.
Run mark distribution reports and submit to administration and program heads; prepare honour roll reports, graduation award lists and Ontario Scholar reports, etc.
Verification, completion, and distribution of progress reports and report cards for students and OSRs.
Responsible for diploma ordering and tracking.
Maintain School Staffing Report and follow year-end procedures as established at the school.
Responsible for start-up of Registration Day with respect to registering and transferring students as well as updating student information from the registration sheets.
Main contact for GRT and Board’s Co-operative Transportation Department, including organizing bus pass days, issuing of bus pass letters of eligibility and providing eligibility lists for transportation purposes.
Compile, maintain and file records and reports for administration, board office, guidance and department heads.
Operate general office equipment such as computers and photocopiers.
Run inquiries/provide reports of student and staff information requested by administration.
Organization and distribution of school keys and key database.
Assist in training of staff pertaining to the Student Management System features.
Perform other duties as assigned.
Possess a two (2) year college diploma in Office Administration or Business Administration.
2-3 years similar work experience; guidance experience is preferable
Possess strong organizational, communication and interpersonal skills.
Advanced knowledge and demonstrated ability in Word and Excel.
Advanced knowledge of the Student Administrative System (SAS) and proficiency in Aspen (or similar relational database) would be a definite asset.
Interact with board employees, representatives from professional agencies, government and other social service establishments.
Ability to multi-task in a busy work environment.
Hourly Rate: $26.46 to $28.00 per hour
Hours of Work: Permanent Full-time, 35 hours per week
Work schedule determined by the Administrator
Location: St. David Catholic Secondary School, Waterloo, ON
Weeks/Year: 52 weeks/year
