Reporting to the Manager, Legal Support Services, the legal assistant will be responsible for providing administrative support to lawyers, and paralegals. The successful candidate will act as a collaborator, proactively focusing on keeping records up-to-date and staying well informed on current affairs to support the department's activities, as well as providing impeccable client service, both internally and externally.

Assist in the drafting, revision, modification and layout of administrative and legal documents, in English and French;
Ensure the organization and follow-up of the files;
Assist professionals in tracking incoming and outgoing communications by phone, email and regular mail;
Open and maintain files in paper and electronic formats;
Manage the lawyers' agendas, appointment follow-ups and travel arrangements (plane, train, car, hotel, etc.);
Prepare lawyers' expense accounts;
Prepare lawyers’ time entries for billing;
Assist one of the lawyers with certain personal matters;
Perform any other tasks assigned.
College or professional diploma in office automation;
Legal option (an important asset);
Five (5) years’ experience in a similar position.
Essential skills
Knowledge of Real Estate law;
Excellent knowledge of the main office automation software (notably, Word, Excel, PowerPoint);
Knowledge of at least one invoicing software (e.g., Elite);
Fluent in both English and French (oral and written);
Impeccable English/French grammar and spelling;
Ability to identify and solve problems;
Excellence in client service;
Highly organized with attention to detail and ability to prioritize;
Ability to manage multiple files at once;
Lively, resourceful and versatile;
Ability to work autonomously and as part of a team;
Good communication and interpersonal skills;
High level of discretion.
Working conditions

Workplace: Montréal

Effective Date: Immediate

Contract Type: Permanent Position – Full-time

Schedule: Monday to Friday, 9 a.m. to 5 p.m.
