The Operations Specialist contributes to the daily operations, including safety, administration, monitoring of the work, inspections and customer relations. Our Operations Specialist will be organized, computer savvy, have strengths in communicating effectively with a diverse range of stakeholders, including managers, supervisors and customers. An ability to excel in a fast paced environment with an entrepreneurial mindset is crucial for this position!
What will you do?
Provide excellent customer service to incoming calls from customers;
Call ahead for service related issues as required by stops/ notes
Address issues promptly and communicate with appropriate personnel and sales representatives so that it can be handled efficiently;
Ensure that accurate information is entered into Route Optix (software) on a continual basis;
Communicate with maintenance on repairs of trucks, equipment and bins and monitor completion;
Schedule and re-route according to equipment and driver availability;
Close all routes daily so that checks and balances are finalized;
Ensure a working daily inventory check is completed on all containers and locations are updated in Route Optix;
Schedule trucks for repairs as needed, make arrangements for drivers to drop and pickup, work with outside vendors and other divisions to complete;
Update routes to reflect changes in customers or service requirements daily;
File drivers log sheets as per MTO requirements and check and monitor safety and compliance issues or changes in regulations or company policy;
Send drivers’ approved daily time sheets to senior management for approval;
Print disposal reports, route profitability and customer profitability report on weekly basis and review; forward issues and highlights to Management
Issue/Receive PO’s in GP for weekly truck washes/ Diesel Purchases get approved and process;
Enter and match Petro fuel invoice for staff who have gas cards and get the gas receipts and report on monthly basis;
Complete RTA for all Fleet – tracking hours, repairs etc.
Maintain all truck files and employee files to standards of MTO and MOL
Print weight reports for customers as requested;
Conduct driver start ups as required- review compliance reports etc.
All other duties assigned by manager.
What will you bring?
Minimum 2 years previous experience working in a related office/administrative role;
Grade 12 or GED equivalency;
Supervisory experience an asset;
Experience and knowledge of the waste management or transportation industry an asset;
Dispatch experience an asset;
Experience with data entry and the generation of reports;
Ability to perform under tight deadlines;
Experience providing customer service and the ability to act with diplomacy and professionalism;
Strong computer skills, especially with Microsoft applications;
Ability to multi-task and shift priorities as necessary;
A friendly personality combined with a “roll-up your sleeves and get it done attitude”!
