Under the direction of the Operations Manager or Coordination Supervisor, the Administrative Clerk will provide administrative support to site operations performing tasks including data entry, filing, records administration, and mobile device management. Offering superior customer service skills as they perform all clerical functions, they will project a professional demeanor.

Qualifications

Completion of post-secondary education is required. Completion of Medical Office Administration course or Medical Terminology training will be an asset
Two years’ administrative or office experience is strongly preferred
Advanced typing and software skills in Microsoft products are required
Superior Customer service skills are necessary
Ability to effectively communicate both through oral and written mediums in English- other languages may be an asset
Demonstrates compassion, tact and diplomacy when interacting with clients and their families

Responsibilities

Enters and updates employee and client data within software system, utilizing email and other customized databases as required
Assembly, retrieval and storage of confidential client files
Management of mobile device program including ordering, assignment, set up, tracking, troubleshooting and retrieval of cell phones
Performs faxing, filing and photocopying as required for the purposes of collating manuals and other documents
Orders and maintains office supplies
Responds professionally and courteously to calls and electronic communication from funders, staff, clients and families
Documents and appropriately reports and escalates complaints and incidents related to staff and clients
Adheres to the ParaMed policies in all interactions with clients, families or other parties ensuring privacy and confidentiality.
Other duties as assigned
