Job Description

The Employee Services Coordinator is accountable to the Director of Clinical Services for administrative, clerical and nursing office duties related to the overall operation of the nursing department.


  • Successful completion of Grade 12 education.
  • Successful completion of a recognized Business Administration or Medical Administration Program and/or two to three years of business administration experience.
  • Good computer skills including experience with Microsoft Office, Excel and Power Point.
  • Must be able to work with minimal supervision.
  • Has acceptable standard of behaviour and appearance.
  • Able to maintain filing systems and basic databases.
  • Excellent analytical and problem-solving skills.
  • Meticulous records maintenance skills.
  • Superior telephone manners and strong interpersonal skills.
  • Strong written and verbal skills to communicate with all levels of the organization and its executive team.
  • Strong customer service orientation.

Key Responsibilities:

  • Respond to telephone, e-mail, and in-person inquiries from residents, families and other parties.
  • Take and record telephone, e-mail, or written messages for staff members.
  • Post internal and external job postings in accordance with the policies and procedures.
  • Prepare and post all nursing staff schedules.
  • Maintain One Call Now and fan out list.
  • Prepare and post accurate seniority lists.
  • Create annual vacation lists.
  • Fill vacant shifts.
  • Prepare records of employment (ROEs).
  • Review, maintain and update QHR and Time and Attendance records.
  • Maintain payroll status change sheets.
  • Post staff notices regarding scheduling, vacation, etc.
  • Print and prepare pay statements.
  • Benefit enrollment and maintenance.
  • Back up for Clinical Services Coordinator and/or Business Services Coordinator.
  • Other tasks that may be assigned.
