The Contract Assistant provides the proper and efficient coordination and maintenance of the workflow within the Purchasing & Contracts group while maintaining a client-focused environment. Responsibilities
Process Request for Contract Services Form by ensuring completeness of forms, initiating contract process and assigning to appropriate Contracts Specialist.
Draft legal documentation such as contract and tender documents for review by Contract Specialists or Supervisor, Purchasing & Contracts.
Arrange for the opening of sealed tenders in accordance with Contract procedures.
Prepare commercial evaluations of tenders, finalizing/issuing recommendation for award follow-up to ensure timely approval to award.
Finalize and prepare formal contract documents for signatures and maintain contracts.
Maintain logs on correspondence, change notices/orders, contract amendments and notices.
Process progress payments, reviewing for accuracy of the request, including requests for release of hold back and final payment, ensuring all documentation is received, deficiencies are addressed.
Process final close-out of the contract and evaluation of contractor performance.
Research various Supply Chain issues such as commodities and current legal trends
Communicate between internal clients, suppliers and standards with respect to purchase orders, contracts and vendor information.
Identify discrepancies in GR/IR for buyers
Provide vacation relief to Administrative Assistant, Procurement; Requirements
Supply Chain Management training through PMAC or equivalent combination of education and work experience.
Minimum of 3 technical courses and all soft skill seminars and all Business Management Seminars (PMAC Program) or work experience equivalent.
Minimum 1-2 years related work experience in Purchasing & Contracts.
Preference given to applicants with business diploma or business degree with law, finance components and Supply Chain Management components.
Proficient with computer systems and related programs including Word, Excel, Access, PowerPoint, Outlook.
SAP Knowledge - preferred.
Excellent organizational skills, ability to multi-task with close attention to detail.
Knowledge of Competitive Bidding, Contract, and Tendering law.
Valid BC Class 5 driver’s license
Strong organization and time management skills with ability to prioritize workflow.
Demonstrated ability in drafting legal documentation.
Demonstrated experience in managing expediting and GR/IR.
Possess a clear understanding of standard business practices, purchasing processes, supply chain management, and terminology.
Excellent written and verbal communication skills.
Strong teambuilding and professional relationship skills.
Superior analytical and trouble shooting skills.
Ability to work independently in a team environment with minimal supervision.
