The Administrative Assistant, Finance and Business Affairs role will support SME’s Finance, Lega and Business Affairs teams by performing support and administrative tasks. This is a fast-paced position that requires a diligent work ethic, the ability to juggle multiple tasks, strong memory and quick recall, attention to detail and an ability to independently exercise sound and reasonable judgment. The position is full-time in Toronto, Ontario and reports directly to the Vice President of Finance, Entertainment and the Head of Business Affairs and Legal, Entertainment.
What can we expect from you:
Manage Outlook Calendars for the Vice President of Finance, Entertainment and the Head of Business Affairs and Legal Entertainment, schedule meetings and calls, and ensure on-time attendance
Manage invoice flow for the department and the Production accounting team
Create Vendors, PRs & POs for the Entertainment Departments as needed
Act as direct liaison with SME’s Production Coordinators, the Executive Assistant to VP Production, VP Development and Creative Director, and the Executive Assistant to EVP, Entertainment
Perform clerical duties such as printing/copying/scanning, managing team members’ vacation requests, maintain Outlook Contacts, admin correspondence, digital and paper file administration, and assist with report & presentation building in excel or PowerPoint
Arrange and book conferences, travel, accommodations and submit expense reports
Coordinate with IT for service requests and troubleshooting
Coordinating weekly cheque mailings and pick up from external production accounting firm
Filing and maintenance of production accountant binders as necessary
Additional duties as may be assigned
Who’s a good fit for this role:
Demonstrates good judgment and ability to deal with very confidential and sensitive information
Flexible and excited about supporting various unpredictable projects and schedules
Self motivated, team oriented attitude and strong work ethic
Strong oral and written communication skills
Ability to handle multiple tasks simultaneously, prioritize high volume of workload and meet (and sometimes set) strict deadlines for tasks
High degree of accuracy and attention to detail and impressive follow-through on varied tasks and assignments
Comfortable with data entry online and revising documents
Some knowledge of the Canadian and global entertainment industry, including television and/or film is a benefit, but not a necessity
Good organizational, time management and prioritizing skills
Familiarity with SAP (including Fiori and Concur), BOX and ContractWorks is an asset, but not a necessity
You should apply if you have the following:
Post-secondary education (diploma, certificate, undergraduate degree)
Minimum 3 years’ direct administrative and support experience in a fast-paced environment
Highly proficient with MS Office (Word, Excel, PowerPoint, and Outlook)
