The John H. Daniels Faculty of Architecture, Landscape, and Design is housed at 1 Spadina Crescent; a showcase for the city and the University, and a world-leading venue for studying, conducting research, and advocating for architecture, landscape, and sustainable urbanization. The Daniels Faculty offers an opportunity to be part of the outreach team and host members of the community in this incredible facility.
This role is responsible for coordinating the event logistics for internal and external events including lectures, symposia, performances, talks, gallery openings and special events. Working with the faculty, students, and staff, the role is expected to ensure events are executed at a high level. The role is responsible for assisting with the development of events packages and marketing the facility for commercial bookings.
Your responsibilities will include:
Implementing sales and marketing plans to increase revenue-generating activities
Calling targeted potential clients to generate sales leads through the promotion of event services
Acting as the first point of contact for event-related enquiries
Preparing service contracts and invoices using templates
Analyzing and making recommendations for changes to venue, event fees and surcharges
Coordinating the schedule for program and event calendars
Overseeing the implementation of venue setup and tear down plans
Implementing plans and process improvements for events and related activities
Bachelor’s degree in a related field (e.g., hotel/hospitality management, business administration) or an equivalent combination of education and experience. Smart Serve Certification.
Minimum five years' recent relevant experience in business development, event sales and marketing, and event management within the hospitality industry
Direct experience coordinating and implementing events from start to finish: contracting client and external vendors, liaising with in-house staff to support logistical requirements, client support leading up to and day of event, problem resolution, event setup and tear-down, post event follow-ups and surveying, and reconciling event expenditures
Experience coordinating highly visible, prestigious events
Experience coordinating a complex schedule of events occurring concurrently, and of varying scales
Able to anticipate the needs of clients and staff based on understanding of the events/catering industry
Direct experience in food service
Direct oversight of catering activities
Experience analyzing and making recommendations for changes to venue, event fees and surcharges
Experience implementing plans and process improvements for events and related activities
Exceptional communication (both written and verbal) and interpersonal skills
Proven ability to support, lead, and train casual staff
Strong understanding of DineSafe, Toronto Public Health’s food service safety program
MS Office (Word, Excel), email, reservation database
Able to work independently to multitask and prioritize own work, and work under pressure to meet strict deadlines in a high volume office
Flexibility to work evenings and weekends as required for events
Food Handlers Certification
First Aid Training
Venue / facilities management experience
Related experience in a higher education setting
