Scope:

To be the face and voice of the company in greeting visitors and callers. To provide various administrative support services to Finance and Operations

Education:

High school diploma. One year’s certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience

Experience:

Minimum 1 year of experience working in an office environment. Construction knowledge and basic accounting experience are considered assets

Responsibilities:

  • Welcome visitors, determine nature of business and announce visitors to appropriate personnel
  • Management of multi-line switchboard
  • Respond to general business inquiries
  • Book travel arrangements and hotel accommodations
  • Receive, sort, and route office mail and courier deliveries
  • Perform administrative duties such as data entry, filing & record management, photocopying, mailings, form letters, and organizing social activities, etc.
  • Maintain general daily tidiness of staff kitchen, boardroom, First Aid dressing station, and reception area
  • Maintain office printers and ensure adequate supplies available
  • Maintain inventory of basic office supplies
  • Plan and execute special organization events, social and teambuilding
  • Gather, code, and data entry timesheet information and distribute payroll correspondence as necessary
  • Establish and maintain confidential hourly and trade employee files
  • Employee training maintenance
  • Maintain coveralls for new and existing employees
  • Fuel Card management and reconciliation
  • Assist Accounts Payable Associate in company credit card reconciliations
  • Petty cash reimbursements
  • Truck, Pre-Trip Vehicle, and HOS paperwork and expirations maintenance
  • Provide ad hoc reporting
  • Provide various administrative support services, as necessary

Skills:

  • Excellent communication skills – Both verbal and written
  • Attention to detail and accuracy in data entry
  • Proficient in MS Office (Word, Excel, Outlook)

Outstanding time management, prioritization, multitasking, and organizational skills
