Job Title: Assistant Program Manager
Team/Unit: Settlement and Education Partnerships in Toronto (SEPT)
Location: 2330 Midland Ave, Schools, and other Community locations
Hours: 35 hours per week; may work irregular hours including evenings, Saturdays and some holidays, layoff period in the summer
Salary: Commensurate with experience

Essential Duties and Responsibilities:

  • Assists Program Manager in the implementation of evaluation measures on program effectiveness and recommend program improvement and refinement;
  • Provides supervision to the Newcomer Mental Health worker, casual worker, summer students and supervises other positions of the team in the absence of program manager.
  • Provides leadership and effective management to the Mental Health support service and collaborative projects with community partners;
  • Provides leadership in coordinating with Mental Health Consultation and Coordination Team consisting of mental health workers from other SEPT agencies to enhance capacity building and community outreach;
  • In consultation with Program Manager, sets the long term and short term plans with the mental health team to improve effectiveness and monitor trends and changes in client demographics and needs;
  • Monitors the accuracy of OCMS data entries on client service and group activities. Provides timely and accurate program and operation status updates (formal & informal) to Program Manager;
  • Facilitates the process of need assessments, translates discoveries into usable information for discussion with Program Manager in program design & development;
  • Maintains program statistics for purposes of reporting and evaluation/analysis;
  • Initiates, engages in and promotes activities that positively influence staff and volunteer commitment to the organization, to the team, and to their assignments;
  • Supports the Program Manager to create and maintain a positive, harmonious work environment; and be a role model by championing CICS’s mission, and core values through supervisory visits to schools to ensure compliance and fair/consistent application of policies, standards, guidelines, and controls;
  • Establishes, builds and maintains internal and external relationships with school and library contacts, attends meetings to grow the client base and strengthens internal and external partnerships, collaboration and information-sharing;
  • Collaborates closely with other SEPT agencies to increase and enhance program and service coordination of the mental health project and SEPT program, including planning, promotion, implementation and delivery of the project;
  • Assists the Program Manager to monitor day to day program budget, expenditures and purchases of SEPT team; provides early disclosure on issues/risks to supervisor/senior management as appropriate.

Qualifications:

  • A Canadian university degree or equivalent in Social Sciences or a related discipline. A relevant combination of training and experience will also be considered;
  • Minimum 3 years of relevant experience in a non-profit setting; some supervisory experience required;
  • Excellent knowledge of cultural, economic and social needs of immigrant families, especially youth, including their settlement and integration issues as well as resources and services available to assist them;
  • Knowledge of Ontario education system and school support services;
  • Proven abilities in program and service organization and coordination, referrals, task management, and experience in working with diverse cultures and mixed age groups;
  • Demonstrated leadership skills with knowledge on motivation, experience in team building, decision making, delegation, conflict resolution, and problem-solving;
  • Experience in resource coordination and program/ service evaluation;
  • Excellent oral and written English skills, public speaking, and report writing skills; proficiency in a second language commonly used by clients an asset;
  • Excellent interpersonal skills, ability to operate effectively within the organization and externally through interaction, connection, and communication;
  • Ability to manage multiple tasks and meet deadlines;
  • Ability to focus on details, plan, analyze data, and prepare succinct reports;
  • Proficient in using MS Office Suite.

Other Requirements:

  • Ability to perform some physical activities (e.g. lifting and loading program materials and office equipment);
  • Vulnerable Sector Screening is mandatory;
  • Valid Ontario driver’s license and must have access to a car to carry out duties.
