Job Summary

As the frontline person, the Homestay Coordinator plays a pivotal role as the first point of contact for students as well as homestay families. The Homestay Coordinator orchestrates the relationship between Students, Homestay families, and ILAC by proactively and promptly responding to inquiries, resolving concerns and handling all Student-Homestay Families related requests. Between answering phone calls from Students and Homestay Families, closely monitoring online requests and matching ILAC students with homestay families, the Homestay Coordinator ensures a smooth and enjoyable experience for Students as well as Homestay Hosts while delivering highest levels of client satisfaction as measured by customer satisfaction surveys, and highest occupancy rates.

What you will be doing:

  • Answer phone calls, e-mail, and in-person inquiries from host families, students, and internal staff;
  • Handle pre-bookings for potential and tentative students, as well as handle bookings for students who are accepted to school;
  • Establish and continuously build productive and healthy relationships with home stay families;
  • Manage scheduling payments for hosting families. Support HS Director on weekly payment reviews;
  • Manage homestay extension requests through the internal system;
  • Handle and resolve escalated homestay issues;
  • Handle emergency line on rotation basis;
  • Track any changes in students’ homestay program duration communicates information about any changes to the host families promptly;
  • Review invoices for external providers; Airport Greeters, HS Visitor, etc.;
  • Send a Homestay survey to students, analyze survey results and summarize HS Survey results.
  • Visit Homestay families as may be required;
  • Enforce policies and procedures established by ILAC;
  • Other duties as required.

  • University or college degree/diploma in business or related field, or an appropriate combination of education and experience;
  • 2-3 years of successful relevant experience, preferably in Education industry, Hotel, Travel, and Tourism, Residence and Accommodation;
  • Excellent customer care and service excellence attitude;
  • Complete fluency in a second language is a valuable asset.
