As the administrator for the Service department, this role will maximize efficiency and maintain organization within the department. This will be accomplished by overseeing administration functions, following and managing all procedures that pertain to the invoice cycle daily, as well as month-end. The Service Administrator must maintain an ongoing dialogue between all areas of the operational team, field staff as well as customers on daily affairs in a professional manner.


  • Maintaining effective records management in the financial software by keeping accurate and up to date client information and filing all relevant paperwork and information
  • Creating and distributing client invoices while demonstrating efficiency and attention to detail
  • Developing and retaining relationships with customers by providing excellent customer service
  • through professional communication
  • Providing backup documentation to clients and the accounting department as needed
  • Entering new and updating current contracts into system
  • Finalizing month-end conditions, outstanding invoices and closing amounts
  • Liaising with field staff on behalf of management as required
  • Handling, troubleshooting and providing outcomes to any discrepancies
  • Preparing certificates for customers as required


  • Must have excellent and professional written and verbal communication skills
  • Possess excellent computer skills, as it pertains to using various software and email systems
  • Be able to efficiently multitask and prioritize daily tasks
  • Have exceptional time management skills
  • Be well organized and have great attention to detail
  • Customer support skills are essential for this position
  • Invoicing background considered an asset
