The Department of Family and Community Medicine (DFCM) is recognized internationally for its clinical, educational and research excellence. Reporting to the Undergraduate Program Director and Family Medicine Longitudinal Experience (FMLE) Course Director, the FMLE Coordinator provides administrative support to the FMLE course as part of the broader Undergraduate program. You will be entrusted with a wide variety of key administrative tasks that require a great deal of tact, attention to detail and adaptability within an unpredictable, fast paced environment. You will also work collaboratively with students, and community preceptors in order to coordinate a mandated placement in a community practice as part of their core family medicine training. You will be well organized, exercise good judgement in a variety of situations and foster positive relationships with various stakeholders in order to ensure consistent and efficient operations.

Your responsibilities will include:
Providing detailed information to students on program and/or course requirements
Coordinating the recruitment process of community preceptors
Fostering and maintaining positive relations with stakeholders to support student placement activities
Coordinating the preparation and distribution of program and/or course material including collecting and tracking student assignment submissions
Providing detailed explanations to instructors on how to administer course evaluations
Conducting work term site visits and reviewing potential placement opportunities to determine suitability with learning objectives
Maintaining databases, tabulating data and analyzing statistical information to evaluate the performance of programs and/or partnerships
Coordinating tasks for projects and other strategic initiatives with stakeholders

Essential Qualifications:
Bachelor's Degree or acceptable combination of equivalent experience.
A minimum of three (3) years relevant experience, preferably in a University, teaching hospital or comparable environment.
Experience in providing administrative support to an education program
Experience providing committee support (including scheduling meetings, minute taking, booking rooms, coordinating agendas, materials and follow up items)
Experience coordinating the logistics of events, workshops and/or seminars
Experience managing and analyzing databases and generating reports
Experience supporting multiple projects (i.e. tracking project progress, deadlines, providing updates)
Experience fostering and maintaining relationships with a variety of stakeholders
Experience independently drafting correspondence
Experience working directly with students is preferred
Advanced proficiency in MS Office Suite, survey tools and content management systems
Ability to interpret requirements and recommend changes for improvements to processes and procedures
Ability to collect and analyze data in order to create meaningful reports
Superior critical thinking, organizational, interpersonal and time management skills
Ability to exercise initiative, tact, discretion, problem‐solving skills and to work under pressure to meet deadlines
Ability to deal effectively with multiple priorities and projects with conflicting deadlines while maintaining a high degree of accuracy and high quality
Ability to work well independently but also as part of a team
Ability to work professionally with confidential information
Must have strong communication skills (oral and written) that demonstrate effective and accurate relay of information for knowledge translation
Customer service and solutions oriented

Assets (Nonessential):
Knowledge of the University and particularly the Faculty of Medicine’s student procedures
Knowledge of the University of Toronto’s academic appointment policies and procedures
Knowledge of the Faculty of Medicine’s MEDSIS evaluation system

Schedule: Full-time

Pay Scale Group and Hiring Rate: USW Pay Band 10 - $61,846 with an annual step progression to a maximum of $79,088. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
