Responsibilities and duties

Prepare and manage customer invoices
Administer expense policy and enter process reports
Manage group payroll system
Review, prioritize and obtain approval for all A/P bills and payments
Work with the CEO to manage monthly/quarterly/yearly closing/reconciliations & filings and interactions with government agencies

Office management:
Manage the day-to-day running of the office and vendor contracts: telco, alarm, maintenance and repair
Manage office supplies: inventory and ordering
Handle incoming and outgoing office mail and phone calls
Organize birthdays & company activities!
Assist with sales & marketing events and travel arrangements
Assist with general filing & coordinating meetings

Assist with talent recruitment
Support onboarding of new team members
Manage group benefits
Help develop company policies

Special projects:
Grow wings and fly: Jump-in as/where needed from trade-show logistics, customer events, project management, research government programs & more
You are
A proactive do-er! You aren’t afraid of getting your hands dirty and know the best way to see success is to get to know the business from the ground up
Committed to completing tasks the right way with a high degree of quality, attention to details and passionate about continuous improvement
A curious person who likes to “wear different hats” in order to work with a variety of business groups
Able to work autonomously, under pressure, manage priorities and meet deadlines while dealing with distractions
Entrepreneurial in spirit, a people-person by nature
Adept at handling sensitive information; able to exercise discretion and confidentiality
A person who enjoys working in a fast-paced, evolving start-up environment
Excellent in written and spoken French and English
Willing to work longer hours when needed
Technical skills and experience
Minimum 2 years prior experience as an office manager, accountant, junior HR or project manager
Proficiency in MS Office Suite or G Suite
A University degree, business-related strongly preferred
bookkeeping and accounting knowledge
Experience using QuickBooks or other similar accounting software preferred
Experience with WordPress a plus
