Vikes Athletics and Recreation is the campus leader in Athletic excellence and active healthy living. Athletics include 16 men’s and women’s varsity teams across 8 sports and 74 Canadian University National Championships. Recreation includes fitness opportunities, recreation clubs and activities, aquatics and intramural programs open to students, staff, faculty, alumni and the wider Victoria community.
The salary range for this position is:
Recruitment range: $47,978 - $53,999 starting salary determined by the PEA Collective Agreement.
Performance range: starting salary to max of $62,716 is available through annual performance increase.
Alumni Relations works with the Faculties and Units of UVic and the Alumni Association, an independent society of UVic graduates, to deliver programs and services, communications and foster a culture of philanthropy amongst the 130,000+ alumni in over 127 countries worldwide. It also engages with UVic students to encourage a lifelong relationship between them and their university. One of six units with the Division of Student Affairs, Vikes Athletics and Recreation offers eight high performance varsity sport programs (soccer, rugby, basketball, field hockey, cross country/track, rowing, swimming and golf), competitive intramural and sport clubs, and a broad array of health and wellness programs to the university and broader community. The Vikes programs have a high profile in the greater Victoria community, through partnerships, community programming, alumni outreach and events. Athletics and Recreation’s commitment to excellence in sport, health and wellness, inclusivity and customer service make it a key contributor to student success on campus, and the department plays a critical role in student recruitment and retention. As a partial ancillary service, the department must generate revenue to support an operating budget that includes salaries, facilities and an ongoing capital renewal plan through membership sales, program offerings, fundraising (philanthropic and corporate sponsorship) and facility rentals. Core to its mandate is a commitment to build on the rich legacy of athletic excellence including numerous national championship titles and a strong contribution to Canada’s international success.
Reporting to the Director Alumni Relations, the Vikes Alumni Relations Coordinator will support the implementation of Vikes alumni relations and fundraising activities through data, event and communications support. In this capacity, the Coordinator will receive guidance from Athletics Alumni Annual Giving Officer and work in coordination with the Associate Director, Sport for Vikes Athletics and Recreations. This position will be instrumental in ensuring program delivery is consistent, efficient and in line with standards and practices of both Alumni and Development and Athletics and Recreation
The Coordinator will be the unit’s key person for alumni data integrity and database management issues as they pertain to the University’s Constituent Relationship Management (CRM) system (currently Raiser’s Edge) representing the unit on database-related committees and working with colleagues in Alumni and Development as well as Vikes Athletics and Recreation to ensure consistent business practices.
The Coordinator will play an instrumental role in setting up and administering online registrations and donations pertaining to Vikes alumni activities. The most prominent example being the annual Vikes Championship breakfast.
Coordinator will also be responsible for implementing electronic communications to alumni and will be a regular contributor to the UVic Alumni social media presence.
The Alumni Relations Coordinator requires a bachelor’s degree and at least one year related work experience.
Experience must include:
Working with complex databases
Using online registration software or platforms
Deploying electronic communications using email softwareEditing and updating websites
Manipulations of large data sets using Excel
Basic understanding of accounting practices
Interaction with stakeholders such as alumni, donors or students
Proven track record of sound decision making in a demanding and fast-paced environment
Writing for the web
An equivalent combination of education and experience may be considered.
