Job purpose

To maintain records of financial transactions by establishing accounts; posting transactions; such as vendor invoices and purchase orders, customer invoices and payments, employee expenses, and reconciliation of bank accounts.

Keep financial records and establish, maintain and balance various accounts using manual and computerized bookkeeping systems.

Duties and responsibilities

As the Assistant Accountant, key duties will include, but not limited to the following:

Account Receivable

Prepares and send customer invoices in a timely manner

Ensures payment is received and applied into customers account correctly

Process and record credit card transactions

Follow-up with customers on past due accounts

Account Payable

Gathers and enters new vendor information

Prepare and send purchase orders to vendors as instructed

Enters all incoming approved vendor bills in a timely manner

Enters all approved employee expenses

Filing and Report Preparation

Completes filing as necessary for the Accounting Department as needed

Prepares monthly invoicing reports as instructed

Prepares monthly commission reports as instructed

Generate various reports from QuickBooks.

Banking

Enters all required banking transactions such as monthly pre-authorized payments, bank charges and expenses

Completes monthly bank reconciliations

Completes bank deposits as needed

Post and reconcile inter-company transactions of difference offices

Payroll

Enters all employee weekly timesheets for payroll processing

Enter all contractor invoices for payroll processing

Calculate and prepare cheques for payroll.

Qualifications

Expertise and Experience:

Excellente knowledge of QuickBooks, and Microsoft Word and Excel.

Knowledge of accounting/book-keeping program (Quickbooks)

Good working knowledge of accounting processes

Minimum 2-3 years of bookkeeping experience

Exceptional organization and multitasking skills

Attention to accuracy and details

Education:

Diploma or Certificate in Book-keeping or Accounting

Working conditions

  • Work Conditions: 9am to 5pm
  • Travelling Availability: Travel required (to complete bank errands, as needed)
