Fulger Transport is hiring a Shop Administrator for our growing Trucking Company. We are looking for an individual to join our team who is passionate the trucking industry and doesn't mind getting a little dirty!

Reporting to our Director of Operators, our Shop Administrator is responsible for overseeing the fleet’s truck and trailer assets. In this role you will be responsible for 3 direct reports (310T Mechanics and apprentices), Monday through Saturday 8am to 5pm.

You will work with and schedule a team of Technicians & Apprentices to ensure timely quality maintenance is performed, while ensuring assets meet Fulger Transport safety standards. We need someone who will take ownership and make the job their own! Accurate data integrity management will be of utmost importance in this role including updating our systems and keeping our TMS systems up to date. You will be accountable for monthly control of warranty services/costs, downtime performance and preventative maintenance compliance.

Consistent communications between Operations & Fleet will be imperative to success in this role, providing safe and reliable vehicles to meet daily operational requirements. This will involve a high level of organization and accountability to ensure vehicle management software systems are effectively utilized when scheduling repairs, ordering parts and ensuring accurate parts inventory. Overall management of efficiency and effectiveness in the shop will consist of ensuring cleanliness, timely work flow and focus on safety.

You will have excellent communication skills and demonstrated leadership skills. To expand on this further – you will need to be comfortable in an ever-changing environment where you will be relied upon to make decisions. You should have some experience driving accountability and results. Ability to effectively prioritize and execute tasks in a high-pressure environment will come in handy.

Duties Include:

  • Manage and control business and processes within the repair facility
  • Maintain truck and trailer preventative maintenance schedule
  • Schedule trucks and trailers in for Preventative Maintenance and Annuals
  • Schedule equipment in for repairs based on DVIR
  • Maintain equipment maintenance files
  • Through careful attention to detail and prioritizing quality repairs, reduce the downtime of the equipment
  • Formally provide written quotes and receive authorizations for service jobs
  • Ensure mechanical staffing is in line with current work load
  • Track and control all warranty claims, ensuring they are being submitted to the dealer OEM and vendors
  • Manage all work orders, ensuring all charges are added, including mechanic labour hours and utilized parts
  • Track all shop floor and mobile activity through their work system
  • Set and ensure expectations for labour hours so that they are in line with the quote or a reasonable competitive completion deadline
  • Ensure the parts inventory is controlled and kept at a level that ensures optimal shop floor productivity
  • Keep track of all trucks under the control of the truck shop – i.e. off-site at sublet suppliers
  • Ensure housekeeping policies are being adhered to
  • Member of health and safety committees

EXPERIENCE: In order to be COMPETITIVE for this position, you will have some experience with:

  • Heavy duty truck equipment shop and parts management
  • 310T Truck/Coach Mechanic License would be a strong asset but not required
  • A Trucking background
  • Retail service shop – operations background
  • Strong customer service skills
  • Computer skills – email, MS Excel and Word and various internet applications.
