General Duties & Responsibilities:

· Set up project files as required and ensure they are maintained in an organized and efficient manner

· Prepare and maintain documentation and business correspondence in a consistent and up to date manner at all times in both an electronic and paper format

· Implementation and enforcement of Safety Programs

· Coordinate with management on daily objectives

· Management of all project and/or site related matters

· Follow up with daily sign in/out forms for employees and subcontractors

· Manage all payroll documentation for submission

· Coding and tracking of invoices and project job costing

· Order inventory, track inventory, purchases and equipment rentals

· Drives operational objectives by contributing information and recommendations to strategic plans and reviews; preparing and completing action plans; implementing production, productivity, quality, and customer-service standards; resolving problems; identifying trends; determining system improvements; implementing change

· Maintain work breakdown and coding structures for cost control and integrity of work defined by the project requirements

· Responsible for tracking, reporting and analysis of revenue/cost projections vs actual, budget shifts, change orders and bid estimates

· Administer project daily sheets, vendor progress payments, sub-contractor agreements and vendor agreements

· Administer project scheduling for owned equipment, rental equipment and labour

· Assist with compiling and preparing bid response

· Manage and maintain the flow of files and documents for projects

· Work collaboratively with Mechanical Dept. to track, schedule and monitor equipment repairs and maintenance

· Administer document control processes for the projects

· Compile, log and distribute reports to meet for information, proposals, data records and transmittals

· Prepare administration documentation and business correspondence

· Essential role in project planning, budgeting and identification of resources needed

· Imperative to maintain and communicate to management all budget and schedule variances, cost estimate and cost-to-complete information in a timely fashion throughout the duration of the project

· Ensure that engineering and construction activities move according to the predetermined schedule

· Devise project work plans and make revisions as and when the need arises

· Serve as the key-link with the customer

· Maintain documentation, complete daily site reports, POs, and project photos

· Communicate effectively with engineers and design/drafters, field supervisors, crew members and contractors responsible for completing various phases of the project as well as the customer and their representatives

· Monitor the progress of the engineering design, construction activities on a regular basis and hold regular status meetings with all parties necessary

· Perform periodic inspections of the design and construction site

· Ensure compliance with federal, provincial and local regulatory guidelines and ensure project documents are complete and on time

· Timely identification and capturing all scope changes/out of scope items and rectifying accordingly with compensation and schedule impact

· Order materials and equipment, and request sufficient manpower throughout the project to maintain schedule and productivity

Key skill requirements:

· Civil technical degree or similar, PPM preferred

· Min 5 years experience in civil construction

· Excellent cost control, scheduling and communication skills essential

· AutoCAD design and drafting experience

· Working knowledge of codes, regulations and industry standards and practices including OH&S-required health and safety guidelines for construction

· Ability to plan and organize

· Good customer management and goodwill building ability

· Effective time-management and logical decision-making ability

· Capacity to handle pressure

· Willingness to travel
