Maintenance Administrator (Planner)

Basic Purpose:
Responsible for the technical and clerical work of maintaining maintenance storeroom parts, equipment, tools, materials, and other inventory supplies.

Essential Responsibilities / Specific Duties:
Continuous maintenance of inventory parts, supplies, equipment, tools, and materials, as well as maintaining accurate inventory records including Cycle Counting, reflecting all dispersals and returns
Initiating orders from the preferred supplier and maintaining acceptable inventory levels
Collaborating with GPO preferred suppliers to develop and implement value-added programs ex. Vending machines and assortment, VMI coordination, part substitution, and demand management processes
Initiating purchase requisitions in order to replenish supplies, maintaining an inventory of maintenance parts, tools and related supplies, receiving shipments of supplies and examining articles for quantity and quality
Research vendors to obtain quotes and parts attainment
Storing parts in its specific location Up-to-date supplier records, contact information and product pricing
Storing supplies, delivering to their proper destinations and assisting maintenance personnel in the upkeep of records (accuracy and consistency)
Report financial data to ensure project spend remains within budget
Kitting parts for upcoming PMs and projects
Informing all vendors/contractors of the 90 day payment policy and ensuring all Purchase Orders are issued prior to project start date
Reduce losses through identification of root cause issues of cycle count errors
Report accuracy, days of inventory and obsoletes along with actions to correct variances to target
Analysis of Material Master Data Tracking System's Min/Max ratios, align with line consumption and lead time for associated projects and PMs. * duo
Continuous execution of requisitions for POs when Min stock levels are reached
Research vendors to obtain quotes and parts attainment Follow established purchase order process and obtain required approvals, provide AP with associated invoices
Track and verify all parts are delivered correctly and on time, keep up-to-date tracking for parts received
Upkeep of stockroom parts and labels
Provide monthly trending reports to manager
Routine cycle count of parts to ensure database accuracy
Maintaining store room which includes receipt, storage, maintenance and issuance of a variety of storeroom supplies and/or equipment and maintaining inventory records.
Scheduling and monitoring preventative maintenance program
Other duties as assigned

Knowledge & Key Competencies (list education requirements and special training / certification requirements here):

High School Diploma / OSSD
Post-Secondary Diploma/Certificate an asset Project management/planning, technical background a benefit
Knowledge of Health Safety & Environment, SQF Quality and Food Safety
Knowledge of accounting principles and practices as they apply to the operation of a storeroom
Knowledgeable of all maintenance equipment, tools, parts, materials and related inventory supplies
Successful completion of training and qualification
Pass a mechanical aptitude test
Must have knowledge of maintenance equipment, tools, parts and materials and related inventory supplies.
Through knowledge of accounting principles and practices as they apply to the operation of a storeroom containing a variety of inventory items and maintenance supplies and equipment
Knowledge of computerized and manual systems of inventory control and management
Ability to perform heavy lifting at times
Ability to prepare and maintain inventory records and reports
Ability to perform routine mathematical calculations
Ability to communicate effectively both orally and in writing
