The successful applicant will be required to perform moderately difficult and varied clerical work under the direction of the Senior Secretary, Chair’s Office and reporting directly to the Manager of Operations. Duties include preparing and typing confidential and other correspondence from rough draft or dictation; providing clerical assistance to various committees in the Discipline; providing clerical assistance to various faculty and administrators including the Discipline of Family Medicine Manager of Operations; recording minutes of meetings; entering data and maintaining various databases; reconciling monthly banner reports and invoices for approval; maintaining a filing system; screening incoming phone calls, opening and sorting mail; arranging travel, meetings, and appointments for the Chair; providing support in the organization of large meetings; assisting in the preparation of various financial forms (i.e., travel claims, purchase requisitions, etc.); ordering office supplies; updating the Discipline’s website and information documents; assisting in the coordination of special events for the Discipline; and performing other related duties as required. From time to time, opportunities may exist for this position to cross train for administrative reception duties in the Discipline’s Family Medicine Clinics.
Experience (1-3 years) in moderately difficult and varied clerical work; graduation from high school, supplemented by courses in business education and word processing; or any equivalent combination of experience and training. Strong knowledge of general office procedures and Microsoft Office Suite (Word, Access, Excel and PowerPoint) are required. The ideal candidate will have strong interpersonal skills, demonstrated attention to detail, and an ability to maintain strict confidentiality. Knowledge of Memorial University’s Policies & Procedures, Banner Finance, accounting or bookkeeping, Medical Terminology, and familiarity with the Faculty of Medicine and distributed education would be considered assets.
SALARY $33,657 - $47,193 per annum (CUPE Local 1615)
