Position Definition:

The Quaaout Lodge and Spa (Resort) has an exciting opportunity for an enthusiastic and energetic wedding-focused Events Coordinator to join our Sales and Events team. This is an exciting position that will focus mainly on the continued development and elevation of our rapidly growing wedding program. The Wedding & Events Coordinator will ensure clients that have booked at the Resort receive attentive, prompt and qualitative service as the main point of contact for all weddings and special events. The Wedding and Events Coordinator is the key contact and liaison between the Client, Resort and outside vendors in a coordination capacity. The Coordinator will quickly and clearly communicate any operational changes or updates to all departments and ensure that our wedding guests experience a memorable and seamless event.

This position works congruently with our Corporate Sales Coordinator, supports the Sales and Events department and reports directly to the Events Manager (EM).

Responsibilities:

· Accurately develop and finalize operational details for Banquet Events Orders (BEO’s) for distribution within a set guideline

· Attend pre-con meetings when required

· Tour and entertain potential and existing clients in the absence of the Events Manager or Corporate Sales Coordinator

· Attend meetings and contribute to event strategy and policy and operations

· Ensure health and safety regulations are followed in accordance with company policies and relevant law

· Establish and maintain a positive, professional relationship with clients before, during, and after events to ensure overall satisfaction

· Build a collaborative relationship with other departments to provide a unified team approach to excellence in product quality and service

· Be available for clients during evening & weekends as needed to secure business and assist

during events

· Meet with client at start of program and maintain additional operational support throughout the lifespan of the event

· Review final billing and folios before group checks out or receives bill

· Track and manage the master calendar of approved/confirmed events and pending inquiries for events

· Follow up calls with client to post conference to solicit feedback and future business to generate referrals for sales department

· Works closely with all operating departments to exceed guest expectations by providing clear, timely and effective information

· Assist the EM with generating proposals and contracts to potential clients

· Assist and collaborate with planning and implementation of special events

· Complies with resort policies and procedures

· Maintain and organize client files while keeping the job purpose, front of mind

· Utilize the Resort Suite Software as a sales tool and to help assist and achieve a high level of organization and effectiveness

· Integration of Secwepemc culture into all aspects of the Resort Experience

· Remaining current with event and wedding trends and services within the hospitality industry

· Support the EM overall with all tasks and duties which align with the job purpose and overall success and betterment of the Quaaout Lodge

· Additional tasks and responsibilities which align with the job purpose and overall success and betterment of the Quaaout Lodge Sales and Event department

· Fulfill the role in any capacity deemed appropriate to achieve our vision of being the #1 indigenous resort in the nation

· Weekly hours of work will be Wednesday to Sunday.

Qualifications:

· Previous event planning, event management experience in a banquet, hospitality, hotel, catering and/or restaurant capacity is a strong asset

· A degree, diploma, certificate or relevant experience in Event Management, Hospitality, Hotel Management, Culinary Arts, and Travel/ Tourism (or another related field) is preferred

· Strong administrative and multi- tasking skills

· Exceptional organization skills with acute attention to detail

· Aptitude for problem solving with strong analytical and decision-making skills

· Ability to effectively manage clients utilizing a high degree of patience, tact and diplomacy

· Effective verbal and written communication skills. Ability to adapt communication style to suit

· different audiences

· Proficient knowledge of Microsoft Word, Excel, Outlook
