For the Voith Hydro, Human Resource department, we are looking for:

Payroll Administrator
Canada

SUMMARY

If you are looking to pursue your career growth in a payroll role offering great autonomy and tremendous challenges, then join the Voith Hydro team! Our Payroll Administrator role offers an opportunity to take ownership of the entire payroll process for union payrolls – you will be the expert we rely on to ensure compliance, and your leadership will influence the process improvement initiatives. If you are an excellent team-player, but can still work on your own without having a boss on-site looking over your shoulder, then we are looking for you!

The Payroll Administrator is responsible for the validation and compliance of multiple Canadian payrolls across various provinces. More specifically, the person oversees the payroll for the union manufacturing group in Ontario, as well as all union payrolls for our project sites across Canada. There are currently approximately 250 workers in those groups, but this number will most likely double as operations begin on new project sites both in Quebec and Western Canada.

The Payroll Administrator works in close collaboration with the field coordinators to collect, validate and correct hours and pay codes according to the applicable collective agreements for each project site. The person furthermore acts as a subject-matter-expert on Canadian payroll rules to support the Global Business Services (GBS) payroll team in the US.

RESPONSIBILITIES

The Payroll Administrator works under strict deadlines to validate the payroll data for the various pay groups. His/her time is divided between three main components: manufacturing hourly group payroll, project site union payrolls, and reporting.

Manufacturing hourly group payroll (20%)
Validate hours and pay codes from ADP eTime for the bi-weekly payroll cycle. Calculate payroll corrections, manual deductions and payments, and send the reviewed hours to ADP. Review, balance and approve the final report.
Collect new employee information and complete the employee options in ADP WorkforceNow (direct deposit information, taxes, benefits options, etc.). Collaborate with the GBS payroll team to ensure accurate completion of the employee profile.
Send termination forms to the GBS payroll team and validate the employee’s last pay.
Support the internal clients to answer payroll questions and investigate claims pertaining to the interpretation of the collective bargaining agreement (CBA).

Project site union payroll (65%)
Verify information provided by field coordinators for all new casual union workers on sites. Coordinate with the GBS payroll team to create the employee files in SAP SuccessFactor (pep). Ensure each worker is assigned to the right project and union in ADP WorkforceNow.
Validate hours and pay codes received from the field coordinators for both weekly and bi-weekly payroll cycles, depending on the project site. Work closely with them on a daily basis to ensure compliance with the applicable collective agreement for any changes in pay rates, premiums, job classifications, and other adjustments.
Calculate payroll corrections, manual deductions and payments, and send the reviewed hours to ADP. Review, balance and approve the report. Send the final report to the GBS payroll team for final validation and approval (4-eyes principle).
Ensure the programming in ADP complies with the trade union rules for all new workers in a new union group. Communicate with the trade union organization as needed to better understand the interpretation of the collective agreement clauses. Coordinate the set-up of the new payroll group with ADP (pay rates, pay codes, invoicing). Validate the programming before the first payroll is run.
Stay abreast of all changes to the collective agreements applicable to our project sites and implement the changes with ADP.
Stay in contact with the various trade union organizations to get the latest forms and have a point-of-contact for any questions pertaining to benefits, deductions and rates.

Reporting (15%)
Prepare and send the monthly reporting for all trade unions (manufacturing and project sites). Collaborate with the Finance department to organize the payments.
Participate in audits with Revenu-Québec, the Canadian Revenue Agency, CNESST, and other government agencies as required.
Provide reports upon request from internal clients.
Process alimony and garnishments.
Put in order and file all payroll reports for all groups in their respective folders to ensure easy access for other departments (e.g. Finance, HR).
Send paper paystubs to the sites or directly to the employees.
Collaboration with ADP to complete the year-end process.
