OVERVIEW

The Senior Occupancy Planner manages the client’s space data management system, using the data to identify portfolio optimization opportunities and develop the annual chargeback process. This role will be part of a planning team for our client located in Toronto, Ontario.

Encompasses a portfolio for national responsibility for data integrity and vetting space request for the national portfolio and lead physical walk-throughs. Will be responsible for training team, creating and managing space survey schedules. Communication to the internal team and client, creation, review for accuracy of space survey reporting. Will be expected to summarize space survey results by reporting to the client and providing status updates.

ESSENTIAL FUNCTIONS
Acts as the single point of contact for space data questions in the assigned portfolio
Train and manage key end‐users to maintain data accuracy, while also educating them on planning and space policies/standards, procedures and protocols, and notify
Create, manage reports on building and organizational data, occupancy and utilization metrics
Supports development of the annual chargeback process using the client CAFM/IWMS system
Evaluate, recommend and improve data and drawing integrity in the client CAFM/IWMS system
Overall management of daily work service requests as it relates to occupancy planning within the client portfolio
Compares over time, actual seat demand versus projected seat demand at the building and business unit level
As necessary, participate in project and move coordination planning meetings
This role does not have any direct reports.

WORKING ENVIRONMENT
The role will be performed on the client site working closely with the occupancy team, the client, and other outsourced providers. The role has interaction with both the client’s corporate real estate organization, as well as the space end‐users. Professional, proactive interpersonal interactions are required for success in the role.

EDUCATION AND EXPERIENCE
Bachelor’s degree in Architecture, Construction Management, Design, or related field
5+ years’ experience in a corporate real estate environment
Working knowledge of office design principles and trends such as the mobile or collaborative workplace
Previous experience in space planning and using AutoCAD in a planning capacity is desirable
Proficient in CAFM/IWMS databases, preferred (e.g., FMS, Manhattan)
Technical skills in CAFM & space management software is required
Accuracy and proficiency in data analysis is required

This position requires excellent written and verbal communication skills
Able to explain complex information in a straightforward manner
Understands the discipline of occupancy management & space planning
Able to manage a program from conception to delivery
Strong team player who is adaptable and capable of driving change
Capable of presentation development for management audiences
Become the subject matter expert for Software capabilities, tools and data maintenance for WSM and Manhattan
Capable of managing internal and client relationships
Provide solutions to address Business Unit requirements using tools available
Strong Microsoft Excel skills (e.g., formulas, v‐lookups), required
