We currently have an opening for an Administrator, Legal Talent to join our Legal Talent department in the Calgary Office. Working under the direction of the Supervisor, Legal Talent, the successful candidate will be responsible for the coordination and execution of key activities for the Calgary associate, student, paraprofessional and professional development programs including recruiting, onboarding, orientations, secondments, leaves, transfers and departures for all legal professionals; and coordinating professional development sessions and civil claims duty counsel shifts. The Administrator, Legal Talent supports the administration of all activities in these areas.

Major Responsibilities and Duties:
Student Programs

Under the direction of the Calgary Student Chair(s) and Supervisor, Legal Talent:

Registers firm for law schools’ career fairs and on-campus interviews.
Prepares job postings for summer and articling positions for Canadian law schools.
Coordinates travel arrangements for legal professionals to travel to career fairs and on-campus interviews.
Coordinates the recruitment process for articling and summer students, which includes working in the recruitment database viDesktop, initial screening of applications, and contacting students to invite them for dinners/receptions and scheduling first round interviews.
Coordinates orientation and professional development for incoming articling and summer students.
Coordinates and prepares social media postings for Instagram and Twitter.
Associate and Paraprofessional Programs

Under the direction of the Calgary LPC member and the Supervisor, Legal Talent:

Prepares job postings, communicates with recruiters and coordinates the recruitment process for all lateral legal professional hires.
Works closely with the HR & Operations Lead, Technology Learning Specialist and Supervisor, Library to prepare the orientation schedule for incoming professionals.
Manages the administration of transfer and departure processes, secondments, maternity leaves, etc. for all legal professionals.
Prepares background checks for paraprofessionals.
Monitors the paraprofessionals vacation, Calgary associates application and HR Calgary mailboxes and responds accordingly.
Coordinates Law Society of Alberta, Calgary Bar Association and Advocates’ Society memberships for associates.
Other

Assists in preparing and monitoring budgets for associate and student programs.
Prepares and maintains statistical information in relation to applications, arrivals, departures, leaves, sponsorships, etc.
Updates Calgary professional development materials in the database DBTextworks.
Assists with event planning for all legal professionals as required.
Communicates with Pro Bono Law Alberta and coordinates lawyer and student participation in Civil Claims Duty Counsel shifts.
Creates and posts news items on OslerNet.
Provides administrative support as required to the Calgary legal talent team by organizing meetings, maintaining outlook calendars, drafting correspondence, completing travel arrangements, submitting expense forms, etc.
Provides support regarding student matters for the Vancouver office on occasion, which includes social media postings.
Assists in the implementation of national processes and procedures.
Provides occasional back up support to trust accounting
Position Requirements
Education and Experience

Post-secondary education and 1 – 2 years of work experience in a professional environment where candidate has performed duties related to legal talent, human resources and/or professional development. An equivalent combination of education, training and experience may be acceptable.

Knowledge and Skills

General knowledge of professional service firm operations with an understanding of different practices.
Superior written and verbal communications in English and interpersonal skills.
Proficiency with computers (including MS Office Suite) and excellent writing skills.
Detail-oriented.
Team-oriented.
Ability to work independently, multi-task, effectively prioritize, and meet competing deadlines.
Some flexibility with work hours is required (including ability to work overtime).
Project management skills and analytical skills.
