THE ROLE

Reporting to the Senior Director, Lease Documentation, the successful candidate will fill the full-time position of Senior Lease Documentation Specialist, Retail, at 40 University Ave, Toronto. This position is a senior member of a team of Lease Documentation professionals responsible for ensuring the rights and interests of Triovest and its owners/investors are adequately protected against risks associated with lease documentation through the effective and high standard delivery of Lease Documentation services primarily for the Retail Leasing (National) business unit.

WHAT WILL YOU BE DOING?

Draft and negotiate new leases and renewals, transfer documents (e.g. consents to assignments, subleases, etc.), license agreements (e.g. telecommunication, storage, parking), service agreements, estoppel certificates, etc., primarily for the retail asset class with tenants and/or their legal counsel. This includes drafting non-standard provisions and determining when appropriate to refer complex issues to Sr. Director Lease Documentation.
Review deal documentation such as offers to lease, letters of intent, etc. and provide feedback and recommendations regarding possible improvement of documentation to leasing groups to ensure deal-related risks are minimized.
Review lease documentation prior to execution to ensure accuracy and consistency with internal deal approval protocol.
Review and maintain integrity of Yardi lease data entry for billing and reporting purposes.
Lease Documentation Services: Provide direction and analysis to members of the Lease Documentation team and other groups within Triovest (e.g. Leasing, Asset Management, Property Management, Accounting and Tenant Coordination) with respect to leasing matters and lease interpretation.
Standardization of lease documentation and precedent step-downs: maintain standardized lease documentation, precedent step-downs, internal lease policies and procedures to ensure control and maximise efficiency and productivity.
Special Provision Database: maintain Lease Special Provision database to support internal client groups in decision-making.
Lease Due Diligence: participate in Acquisition/Disposition projects by (a) reviewing lease documentation, providing accurate lease abstracts; (b) completing estoppel certificates in order to fulfil requirements of purchase and sale agreement.
Lease Documentation Staff: coach and mentor junior members of the Lease Documentation group to increase skill base and experience.
The Senior Lease Documentation Specialist, Retail will work closely with Leasing, Asset Management and other business groups to recommend and execute efficiencies that strive for continuous improvement of workflows.
Identify areas of improvement, and provide advice on the implementation of new processes, to improve productivity, service and efficiency.
Develop and implement best practices, common workflows and service standards.

To fulfill this role successfully, you should demonstrate the following minimum qualifications:

A post-secondary college diploma and/or university degree in business or accounting.
Post-secondary education, preferably with a Paralegal / Law Clerk designation.
Minimum of seven (7) years of experience in a legal or real estate environment with demonstrated expertise in negotiating retail leases on behalf of institutional grade landlord(s).
Experience in identifying and establishing efficiencies for continuous improvement.
Thorough working knowledge of lease clauses and terminology within the real estate industry.
Thorough working knowledge of legal documents including lease agreements, amendments, subordination agreements, etc.
