Unit Summary

The Complex Care and Orthopaedics program includes the Orthopaedic Clinics, Central Intake and Assessment Centres (LHIN program), Inpatient Surgical Orthopaedic floor, and Inpatient Musculoskeletal Rehabilitation Units. There is joint accountability of this role to support the Quality Program including work for the Vascular Access program across Hamilton Health Sciences.

Position Summary

This position reports directly to the Director of Complex Care and Orthopaedics, as well as to the Clinical Manager of the Orthopaedic Clinics. The Program Secretary provides administrative and secretarial support to an assigned number of Clinical Managers and staff teams for the Orthopaedic and Vascular Access program as well as for the Musculoskeletal Central Intake and Assessment Centres (Regional Hub for the HNHB LHIN). The position requires development and maintenance of good working relationships with all members of the department and affiliated program personnel. The Program Secretary will be responsible for organizing schedules of Clinical Managers, files, reviewing budgets, running statistical reports and checking for accuracy as well as problem solving when issues arise. The Program Secretary also supports human resources functions including reviewing scheduling needs and re-assigning staff to accommodate demands.

Qualifications

1. Graduate of Business Administration Program
2. Minimum 2 years current and/or related experience
3. Experience with invoice management
4. Medical Terminology
5. Demonstrated ability to appreciate confidentiality required for this position
6. Excellent computer skills in a variety of applications including Windows, MS Word, MS PowerPoint, MS Excel, myHR, WTK/Kronos, Budget Tool
7. Knowledge and experience with human resources processes related to new hires and staff transfers
8. Knowledge and understanding of the collective agreements such as CUPE/ONA
9. Proficient keyboarding skills (60wpm)
10. Demonstrated excellence in effective communication (written and verbal), interpersonal and problem-solving skills
11. Excellent transcription and minute-taking abilities
12. Ability to work on own demonstrating initiative, organization and establishment of priorities
13. Demonstrated ability to meet project and task deadlines
14. Demonstrated ability to develop systems that create efficient work flow
15. Ability to work effectively and collaboratively with various hospital department and regional stakeholders
16. Demonstrated ability to work effectively in a team environment
