JOB POSITION: Receptionist
LOCATION: Vancouver, British Columbia

REPORTS TO: Vancouver Office Manager

The Receptionist role is responsible for switchboard, reception duties, brochure distribution and management, distribution of faxes, chats, emails, mail, couriers and print/package/ship client documents. It is a very fast paced environment where you can have multiple calls and multiple emails to contend with at the same time. You must be able to multitask in a computerized environment to perform this role without being flustered. You will need to have attention to detail to be successful in this role. The normal shift is 10 am - 6 pm weekdays however you may be called to help cover week days ranging from 9am-9pm, Saturdays 10am-6pm.

Job Responsibilities but not limited to:
Greet all visitors professionally and create a welcoming atmosphere
Maintain regular consistent and professional attendance, punctuality, and personal appearance
Maintain cleanliness of Reception areas
Contact building maintenance should issues arise
Manage incoming phone calls using an Electronic Switchboard and efficiently transfer to individuals or phone queues
Manage phone queues
Print, package, and ship client documents to Canada & USA (occasionally internationally)
Dispatch couriers as required
Manage online CHAT
Sort incoming mail and distribute
Distribute and clear all faxes coming into the server
Distribute and clear emails
Distribute voicemails from night prior
Clear Document Repository
Order supplies & keep fully stocked (courier, office, brochures)
Fill brochure racks at company entrance and reception lobby
Run weekly reports
Scan and fax documents
Assist in any projects as directed by the operations manager – these may be for other divisions.


  • 1-3 years of relevant experience & a high school diploma is required; previous experience or interest in the Travel & Tourism industry an asset
  • Previous experience working on a multi-line switchboard is an asset
  • Superior customer service skills
  • Must be extremely comfortable with computers and technology
  • Proficient with Microsoft Office Suite
  • Ability to quickly learn new tasks and programs
  • Ability to multiple task in a fast paced environment, excellent organization and problem solving skills
  • Excellent English verbal and writing skills
  • Exhibits professionalism, flexibility, strong interpersonal and communication skills
  • Handle and resolve all matters with confidentiality
  • Attention to detail, a high level of accountability and sound judgment
  • Ability to work independently and in a team environment and complete tasks from start to finish
  • Works well under pressure and demonstrates a sense of urgency in completing time sensitive tasks
  • Must feel comfortable working alone – may be the only person on the same floor
  • Must be able to lift packages and boxes (could be around 30lbs or more)
