As an Information Management Specialist, you will be reporting to the Executive Advisor and will facilitate the strategic management of Calgary Neighbourhoods (CN) information assets. You will be responsible for analysing Information Management (IM) practices, developing and implementing IM procedures and best practices based on Information Management Services (IMS) Corporate IM Program, Policies & Legislation. As the subject matter expert and first point of contact for Information Management, Access and Freedom of Information and Protection of Privacy for Calgary Neighbourhoods, you will fulfill the following corporate roles; Business Unit Records Coordinator (BURC), Data Steward, FOIP Program Administrator (FOIP PA) and Content Server Library Administrator (CSLA). Primary duties include:
Conduct regular audits and analysis of IM business processes, IM workflows, records lifecycles, and retention and disposition schedules to ensure corporate IM compliance and to assist in applying IM procedures while addressing user needs.
Develop business rules, SOP’s, guidelines, manuals and IM processes for the business unit, provide expert advice to internal and external stakeholders.
Schedule, maintain and coordinate all records management processing, dispositions, reporting, annual Toss, Recycle, Information, Manage, (TRIM) including required training at all BU satellite offices.
Identify gaps in understanding of IM policies, procedure and software applications and determine strategies to develop and enhance IM skills for end users.
Utilize Information Security (IS), Information Technology (IT), Privacy Officer, Information Management Services (IMS) and the Legal Department for the protection, compliance, and data governance including access and privacy of BU data.
Identify specific business unit Information Management (IM) solutions by consultation, gaining requirements by needs assessment, and pursuing development of content server libraries.
Attend regular CSLA meetings and provides updates, training and information to Alternate Content Server Library Administrators (CSLAs), works on corporate IMS, CSLA action items for the BU.
Facilitate the learning and development of staff by providing one-on-one training
Create, advise on and evolve the architecture of digital filing systems in share drives and TEAMs environments to meet business need.
