JOB DUTIES AND RESPONSIBILITIES

  • Oversee payroll twice monthly
  • Conduct all clerical duties including filing, answering phone calls, responding to emails, preparing and packaging documents, scheduling couriers, etc.
  • Track staff hours and expenses
  • Check the mail on a daily basis
  • Record company expenses
  • Track vacation and time off requests from staff and create updated monthly vacationreport
  • Greet and direct office visitors to the appropriate person or space while offering them beverages as needed
  • Keeping a clean space within the studio by ensuring preparations are made for clients and visitors
  • Schedule meetings and travel arrangements for staff
  • Provide administrative support for all members of the agency
  • Order and maintain a stock of all office supplies
  • Manage vendor relationships and pay vendor invoices including all Accounts Payables
  • Perform accounting functions like invoicing and Accounts Receivables with clients
  • Be helpful to team members and offer to assist as needed beyond the stated duties above
  • Filing - All paperwork generated by the Studio including personnel, vendors, clients, etc. while also maintaining utmost CONFIDENTIALITY

QUALIFICATIONS

  • Diploma or Degree in Business Administration.
  • Strong writing and oral communication skills
  • A strong applicant will have an interest in marketing and social media
  • Willingness to learn
  • Exceptional organizational skills
  • Strong time management skills
  • Works well in a team environment
  • Knowledge of Microsoft Office / Apple Pages, Keynote, Numbers suite
  • Knowledge of the Adobe suite (InDesign specifically) considered an asset
  • Customer service oriented
  • Strong knowledge of Sage considered an asset
  • A background in office administration is considered an asset.
