About the Office of International Education

Learning has no borders. To ensure the richest education possible, Mount Royal University has built an international education program that is widely regarded as leading edge. Mount Royal University’s English Language Program is situated within the Office of International Education. The English Language Program is a full time, non-credit program for domestic and international English as an Additional Language (EAL) learners. Its focus is classroom-delivered academic English courses that prepare learners for entry into post-secondary study. Programs and courses are delivered face-to-face, online and on-site in Canada and overseas.

About the Role

The Program Assistant is responsible for assistance with the administration of the English Language Program. The Program Assistant must work closely with the Program Administrator. Tasks include liaising with the team, instructors, students and University support services to support student applications and registrations, additional data entry, word processing, and telephone inquiries. Participation as a team member in daily procedures and attendance at area meetings are also required.

This is a full-time limited term role ending June 30, 2021.

Responsibilities

Student Registration and Record Maintenance (40%):
In co-operation with the administration team, support student applications to ensure that (i) documentation is passed on to the Registration Office and that (ii) necessary documents are sent out to students in a timely fashion.

Provide Reception desk coverage of English Language Program.

Provide administrative support to Program Administrator for agent-related issues.

Prepare all cheque requisitions for payment of all incoming invoices.

Maintain an orderly and up-to-date filing system and maintain records according to retention schedules. Ensure all student files are current and complete.

Maintains program related databases.

Administer and maintain records regarding program assessments and grades. Assist with the placement exam process.

Prepare and use spreadsheets to record daily statistics for all area courses and programs.

Maintain area calendars supporting academic activities.

Provide support for events related to the programs.

Programming support (40%):
Assist with preparation of supporting documents for language programs.

Assists with bookings.

Assists the Program Administrator to coordinate information regarding student and program support in other areas on campus, including Library, Academic Scheduling, Security, Printing, Bookstore.

Assists the Program Administrator in preparing and maintaining class lists, student marks, transcript records, and graduate lists

Communication (10%):
Respond to telephone inquiries regarding programs, courses and direct students to the sources of appropriate websites as required.

Deliver informational sessions to prospective students.

Use language, cross-cultural and conflict resolution skills appropriately.

Liaise with appropriate departments and external agencies (as required).

Use second-language skills to address particular student needs and concerns (as appropriate).

Planning and Evaluation (5%):
Provide Program Administrator with recommendations of policy and procedure based on interaction with students and instructors.

Make recommendations about improving information and communication flow within the English Language Program.

Incidental Administrative Support (5%):
Assist with preparation of materials for communication and program delivery.

Assist team with administrative support when directed by Program Administrator.

In absence of supervisors, this position may be required to make general office decisions in consultation with other personnel in the English Language Program.

Pass on emergency phone call messages to students

Qualifications

Two-Year Diploma from a University or Equivalent

Familiarity with MRU strategic priorities and outcomes, international education programming, academic programs, services and culture

18-24 months of related experience

Experience as an assistant to courses/ programs/ projects

Ability to work with minimal supervision on a daily basis

Experience on computer software

Administrative experience

Direct experience working with students would be an asset

Experience working with Banner, technical proficiency with web-site maintenance capabilities together with sound financial understanding

Demonstrated initiative to be a self-starter with excellent team player, interpersonal skills together with a strong sense of professionalism and customer service and the ability to build connections across units/departments

Ability to deal with complex situations and comprehend, prioritize, and multi-task on a number of initiatives while responding in a professional, timely manner while adhering to critical timelines and deadlines

Problem-solving, with diplomacy and tact, interpersonal expertise with excellent international relations skills
