Trapeze Group is seeking a Proposal Coordinator for 6 months contract to join their Sales Enablement team. The successful candidate will join a successful, collaborative, and creative team that manages, edits, illustrates and produces complex, multi-volume technical proposals to win business with existing and new customers. The successful candidate will report to the Sales Proposals Manager and support Senior Proposal Specialists in the team. In addition to providing routine administrative support, using superior time and data management skills, the candidate will manage and organize information request, log data into Trapeze’s CRM platforms, fill out corporate forms, refurbish resumes, conduct kick-off calls, develop response templates, print, copy and bind bid documents and edit/update boilerplates like – company credentials, company’s project experience, references, team credentials etc. into readable, concise, and professionally-formatted documents.
To perform this role successfully, the successful candidate will be responsible for the following:
Logging data into various CRM (Salesforce, SharePoint, Teams etc.) platforms and keep up-to-date regularly.
Prepare qualitative and quantitative reports weekly, biweekly, monthly and quarterly to represent a trend and overall performance of the sales operation team.
Create a repository of updated resumes– Manage resume collection process, edit to the latest template and organize archival on the network drives.
Manage Trapeze’s vendor registration to the bid sites and update the existing list.
Provide support to urgent administrative requests from various internal departments related to contracts after sales and bid submission.
Other Administrative support as required.
Process corporate forms, certifications, notarizations, bonds and other administrative tasks related to bid submissions.
Edit, update and customize resumes, organization charts, and other boilerplates i.e. company credentials, team experience, project summary, references etc. as required per bid response.
In charge of printing, copying, binding and packaging a complete proposal submission by following customer instruction and Proposal Specialist’s guidance.
Work with the Graphics team to select photographs and graphics to enhance a proposal’s aesthetic and key messages.
Format large, complex documents using MS Word, including inserting graphics and photographs, captions, footers, headers, etc.
Support RFPIO, a proposal management tool by mitigating user issues. (The applicant will be trained).
Bachelor’s degree preferably in business, administration or any other discipline related to the job.
Strong command of the English language is required, including excellent writing and editing skills.
Proficiency in MS Office including Word, Excel, PowerPoint.
Strong organizational and multi-tasking skills with the ability to work with tight deadlines.
A team player with a can-do attitude who can work, learn fast and take direction well.
Ability to communicate effectively with a broad range of professionals at all levels of the organization.
Experience with Microsoft SharePoint or a similar document management system an asset.
Reliable and with a strong work ethic.
