The purpose of the Retail Operations Coordinator position is to be the first point of contact for all internal retail enquiries and to provide accurate and timely administrative and customer service training and support to the Store and Retail Business Managers. The Retail Operations Coordinator’s role is to effectively initiate and complete projects as required and demonstrate a high level of professionalism in all communication, reflecting company standards and to contribute to administrative efficiencies and the implementation of new processes as required. It is expected that the Retail Operations Coordinator will take an active role in building and maintaining these key internal and commercial relationships, continually assess, analyse and improve all operational aspects with instruction from and in collaboration with the Retail Operations Manager, Retail Business Managers, and Commercial Director.

Inventory Coordination
Coordinate weekly cycle counts and biannual stocktakes in all retail and online stores
Provide support to Retail Managers in the organization of their inventory through retail systems
Assist in allocating and managing dispatch of campaign materials and associated items
Monitor and proactively manage out-of-stocks
In coordination with Logistics support stores and monitor stock levels to meet needs of business
Meet with VM on a regular basis to ensure minimums provided are current
Ensure minimum and maximum quantities are maintained and kept up-to-date on Cegid

Retail Support

Coordinate all Aesop account service queries in relation to banking, stationary, store alarm, Deputy, business licenses and fire extinguisher maintenance
Provide internal administrative support and answer enquires from retail team
Ensure all administrative tasks are completed accurately and correctly within the specified/required timeframes
Be responsible for the adherence of Retail to the Global operational guidelines
Roll out to Retail any new technologies, policies and procedures developed by Global Retail
Troubleshoot and support problems with all POS and IT systems and communicate IT issues to relevant people in a timely and effective manner

New Store Openings

Provide support to the retail team with regards to Aesop account set ups, and permits and licenses prior to opening
Ensure all items on the Store Opening Responsibilities checklist are actioned
Provide on the ground support to the retail team where required with regards to new store openings

Retail Communications

Maintain effective and regular communication with Local, Regional and Global Retail teams and colleagues on all key store issues
Coordinate weekly update for office and retail staff
Coordinate and facilitate Trade Meetings

Brand Standards

Ensure company assets are protected at all times
Assist Marketing with coordinating operational requirements for store events throughout the year
Take pride in the company, the products and all spaces connected with the Aesop culture of ongoing learning, cultural engagement, physical and emotional well-being

2 years’ experience as Senior Retail Consultant, 18 months as an Assistant Manager, or 1 year as a Store Manager with Aesop
Consistently shares ideas for process improvement, high level of attention to detail
Demonstrates excellent written and verbal communication skills
Demonstrates in-depth knowledge of MS Office
Has proven the ability to analyze problems and deliver results
Proactively seeks to build relationships with other store and head office teams
Receives feedback professionally and respectfully and incorporates changes into daily work
Demonstrates initiative and proactivity
Has mastered Aesop Capabilities expectations in previous roles
The successful candidate will be required to travel to the United States and may be required to travel in Canada
Local and International candidates will be considered
The successful candidate will start in the first quarter of 2020
