MHRC is growing, and we have an exciting opportunity for a highly capable Executive Assistant/Liaison to the Board to join our talented team and experience our people-first culture!

THE OPPORTUNITY
Draw on your experience as a highly organized, positive, proactive and relationship-driven Executive Assistant to help us maintain and evolve our operational excellence in the Office of the CEO. You are someone who thrives in a busy environment and is an expert multi-tasker. This is an administrative and relationship-focused role; working in partnership with the CEO, you’ll become a critical member of the Leadership Team, responsible for coordinating strategic business initiatives that cut across multiple teams. This position reports to the CEO, and will also work closely with our Vice-President of Development and Strategic Partnerships to provide administrative support on a variety of emerging and high profile initiatives.
This is the perfect opportunity if you’re excited by hands-on administrative support and the execution of operational efficiencies, while showcasing your superior organizational and communication skills, and your passion for client-first service. You also love getting the details right, and you operate with tact, discretion and diplomacy in all that you do.
ACCOUNTABILITIES
- Work side by side with and support the CEO in execution of effective organizational leadership and governance work with our national Board of Directors
- Organize and effectively manage the office of the CEO and external relationships
- Professionally represent the CEO and CEO’s office to external stakeholders in emails and via phone
- Relay information in meetings and phone calls with internal and external stakeholders.
- Support meetings by taking notes and capturing action items
- Keep projects moving forward by proactively monitoring action items
- Manage calendars for the CEO, Vice-President of Development and Strategic Partnerships and the Board of Directors
- Improve current processes and coordinate organizational procedures for optimized efficiency and productivity.
- Coordinate and enhance communications and relationships with MHRC’s Board of Directors
- Draft high-quality letters, emails, presentation decks, meeting agendas, and other correspondence
THE SKILL SET
- Minimum of 3 years of professional experience in an administrative or operations management role.
- Excellent communicator in written, presentation, and verbal form.
- Excellent attention to detail
- Resourceful, takes initiative, extremely versatile and dedicated to efficient productivity
- Strong ability to multi-task and context-switch with ease, in a fast-paced and ever-evolving organization multiple work streams and multiple projects.
- Experience planning and leading strategic initiatives.
- Proven track record of collaborating with a large and varied group of cross-functional teams and partners to tackle ambiguous problems and make forward progress.
- Proven track record of, or comfort with, presenting to and influencing senior management.
- Strong process orientation with solid organizational skills
- Adept at establishing trusting relationships with both internal and external partners.
- Passion and commitment to diversity and inclusion inviting diverse perspectives, promoting, and inclusive work environment
- Strong ability to multi-task and context-switch with ease, in a fast-paced and ever-evolving organization with multiple work streams and multiple projects always ongoing.
- Trustworthy and ethical; passion for confidentiality, discretion and tact; able to work with sensitive information
- Ability to self-direct and work with minimal supervision and direction while contributing to a team-centric remote-first environment
- A history of building strong relationships with internal and external stakeholders
- Advanced-level knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint) and tech-savvy
OTHER SKILLS WE’RE LOOKING FOR
- Bilingual (English/French) language skills are definitely an asset
- Passionate about providing executive administrative support to a CEO/Board of Directors
- You ideally have experience in the not-for-profit/charitable sector
- You love to be busy
- You are a “people person”, able to easily and effectively build relationships and communicate with a diverse range of people (ages, cultures, levels of seniority)
- You are comfortable interacting and effectively conversing with senior executives and senior representatives in government
- Track record of driving projects from end to end independently
- Track record of establishing trust with and influencing diverse groups of individuals
- Passion for collaborative and creative problem-solving
