This position works to enhance the reputation of the UBC Okanagan Library by developing and maintaining a full range of communications, as well as supporting promotional events. With a sound knowledge of social media principles and online community building, this role supports the use of social media to drive the Library's business and communication goals. The Specialist works with librarians and library staff, University Relations, Student Services, the Office of the Provost and Vice-President Academic, and other internal stakeholders to help increase the profile of Library programs and services.
Reports to the Associate Chief Librarian, Engagement and Access. Maintains strong working relationships with UBC Vancouver Library Communications and Marketing team as well as with librarians and Library staff, campus-wide service providers, and other Okanagan campus communicators.
1. Develops and implements communications and marketing initiatives and projects:
- Implement the Library's communications initiatives to support strategic goals (e.g.: research; teaching and learning; community and campus engagement) and ensure alignment with the mandate of the institution.
- Work collaboratively with University-wide communications and marketing professionals in academic and administrative units to provide strategic communications advice and direction on branding requirements.
- Collaborate with UBC leaders and communicators to build relationships and ensure communication methods are complementary and consistent and provide maximum value to the University.
- Oversee the provision of external communications services, such as web and copy design, including identifying suppliers and negotiating terms.
- Coordinate, maintain and develop marketing and promotional materials.
- Develop promotional strategies, projects and public events including researching other Universities for best practices.
- Develop measures for the success of communications initiatives. Take photographs of events, individuals, and activities for the Library.
- Conception, development and distribution of photos, profiles, videos and animations marketed at promoting to internal and external audiences.
- Manage the archiving of all departmental media including the scheduled backups of photos, videos, and websites.
2. Leads the development and implementation of a variety of marketing communication projects to strengthen and enhance the UBC and UBC Library brands, internally, across BC, nationally and internationally:
- Develop project timelines and schedules, develop cost projections and advise the Chief Librarian and Associate Chief Librarians in a timely manner on progress of all current projects.
- Direct and manage website design, metrics, content creation and coordination of online and social media content for Okanagan Library sites and social channels.
- Manage content creation, design and visual identity for the Library's internal and external communications, including print, digital and social communications by researching, writing, editing and producing content for internal and external audiences.
- Regularly update and maintain social media accounts, social media monitoring, and ensure synergy and linkages between Library website and other social media groups and communities.
- Ensure collaborative recognition and publicity by promoting upcoming events, programs, and opportunities for students, faculty and the general public.
- Graphic design and illustration in support of online, print and digital projects
3. Develops, designs, and maintains content for various websites:
- Research and maintain a familiarity with up-to-date communication strategies and web/media technologies and make recommendations based on findings.
- Oversee creation and maintenance of Library website and website information archives.
- Generate, solicit and edit content for Library website.
- Ensure Library website is up to date with timely news and announcements.
- Recommend and develop web content and functionality.
- Prepare, review and edit documentation and messaging in preparation for public posting on the website; responsible for establishing consistency with usage of the UBC logo and other online initiatives that use the UBC brand.
4. Responsible for the promotion of Library programming, spaces, and events; strategic initiatives; librarian, staff, and student achievements:
- Craft media releases, establish and manage media relationships, and respond to media requests on behalf of the Library, subject to review by the Chief Librarian/Associate Chief Librarian or University Relations as appropriate.
- Coordinate collaborative communication initiatives and projects with university departments, such as University Relations and UBCO.tv.
- Participate on relevant internal Library and University-wide committees and projects, such as UBC Communicators Network and Okanagan Communicators Network.
- Support and provide guidance to librarians, staff, and students in relation to communications strategies and media engagement.
- Use new media to reach out to audiences and promote the work of the Library.
- Research, write and manage production of a broad range of communication initiatives.
- Coordinate the ongoing promotion and marketing of special events and communication activities.
- Serve on inter-campus and cross-unit committees when required.
- Develop and maintain Library processes and procedures manual (toolkit), update on a regular basis, and coordinate updates from internal stakeholders, ensuring completeness, relevance and accuracy.
- With Library Administration staff, assist with Library events for internal and external audiences including scheduling, soliciting volunteers, promoting events, sending invitations, and collecting RSVPs. Directing other staff in the preparation, set up and execution of special events & receptions.
- Manage yearly budget for marketing and communications, reporting any concerns to the Associate Chief Librarian.
5. Performs other duties as required.
This position works autonomously, works closely with the Associate Chief Librarian and Chief Librarian, and is expected to take initiative and perform duties and assignments independently with minimum supervision.
May coordinate the work of staff where needed, and manage student staff. Explains work procedures to new or inexperienced staff. May direct the work of internal and external service providers.
Consequence of Error/Judgement
The consequence of error in this area could be very serious for the University as it concerns the public image and profile of the Okanagan Library on a local, provincial, national and international level. Errors could seriously impair the public image of the Library and may impact the reputation of the University. Lack of effort and/or poor judgement would result in lack of appropriate and timely information available on the Library website for faculty and students and could negatively impact student success. Management of the promotional and various initiative budgets requires attention to detail and accuracy; errors with the tracking could have financial implications for the Library.
Undergraduate degree in a relevant discipline. Diploma in Communications or Multimedia preferred. Minimum of four years experience or the equivalent combination of education and experience. - Equivalent combination of education and experience, preferably in a postsecondary setting.
- Demonstrated experience developing and implementing marketing and communications strategies and best practices.
- Advanced skills in Adobe Creative Suite, Microsoft Office and web CMS. Experience using WordPress an asset.
- Demonstrated experience working with social media tools in an organizational and/or corporate environment to engage audiences including Twitter, Facebook, Instagram, and YouTube. Familiarity with analytics programs for social media platforms an asset. - Excellent interpersonal skills; must have strong attention to detail and accuracy.
- Ability to develop and maintain cooperative and productive working relationships.

- Strong oral and written communication, ability to compose correspondence, reports, presentations, and other written materials using clear, concise business English.
